• Serve as the primary initial point of contact on any matter directed to the company, independently researches and prioritizes incoming issues and determine appropriate course of action, referral, and/or response
• Schedule meetings, conference calls, and interviews for the Directors, including regular team meetings, and provide administrative support to meetings (organize attendees, venues and relevant catering requirements). Confirms all appointments via email
• Review & update the department’s Shared Folder material, continually improve accessibility and functionality
• Follow-up with potential candidate, assist with the new arrival needs and update the department’s organizational chart and manpower hiring status
• Organized envelopes, postage, and mail correspondence for staff and management, maintaining postage meter and coordinating with delivery and courier services
• Manage contracts and price negotiations with office vendors and service providers
• Coordinate travel arrangements, including booking airfare, hotels and ground transportation, visa support
• Create purchase orders, receive and submit invoices and expense claims to Finance department
• Manage car fleet and fuel cards for employees
