issued Purchase orders and forward to accounts for payments.
Maintaining excel file for Invoices and keeping a record for project billing
purpose
Outsource new suppliers for different commodities, maintain supplier database
and track vendor performance to evaluate the best suppliers with respect to
delivery performance, pricing and quality of materials supplied
Mediate between the company and JAFZA Authorities for Operation Fitness
Certificate renewals Visa processing Lease amendments & lease renewals
Prepares monthly overtime sheet for payroll.

Act as a first line contact for the Facilities department for all internal and
external customers/contractors
Issuing work orders and Procurement requisitions through FMP system
Manage the issuing of security passes to staff and contractors
Initiate, implement, and manage the maintenance strategies based on
best practices in the industry, with an emphasis on planning/scheduling
preventative/reactive maintenance in coordination with Technical team.
Respond to urgent maintenance calls and participate in the creation of
emergency preparedness plans.
Applying for required environmental permits
Establish and maintain a computerized maintenance management
system for tracking work orders, and maintenance history of equipment
Communicate daily with supply vendors and update company
executives regularly.
Manages a team of outsourced maintenance contractors and ensures
that maintenance contractors are adequately trained, equipped, and
motivated so that the maintenance program can be accomplished in a
safe, timely, and cost‐effective manner
Negotiate a cost neutral continuation contract with key maintenance
partners, widen the pool of outsourced contractors as a continuing effort
to improve the quality of service offered and also develop a relationship
with all existing maintenance partners, both individually and as a group,
to ensure good two‐way communication concerning maintenance issues
Track, analyze and improve key maintenance parameters such as asset
utilization, maintenance cost, schedule compliance, etc.
Communicate and liaise directly with the operations departments to
coordinate maintenance and repair work and ensure a quick turn around
and return of repairs for smooth functioning of each station
Be available to initiate emergency maintenance work outside of normal
working hours, as required for: full power failure, evacuation fire system
re‐set and / or failure of mechanical systems
Carry out holistic portfolio survey to assess units for remedial maintenance,
supervise refurbishment / mini project works and prepare reports as
requested
Meet vendors/contractors for requirements and negotiations
Prepares and releases purchase orders required for the job order
Process invoices, and produce reports for all the budgets and liaising
closely with the Finance Department and Financial Controller for the
Operations Department.
Handles administration jobs such as Leaves, Payroll, certificate requests
and employee accommodation.
Liaise with JAFZA Authorities for Visa processing and approvals as and when
required.
