Secretarial and Administrative Work
Performs responsible secretarial and administrative duties for the Head of the Fire Division; includes the following:
• Performs typing correspondence, reports, and memoranda from the Department Head. Receives and screens call and correspondence directed to the Department Head.
• Manage Department Head’s Calendar and arrange tentative schedules.
• Answers and screen telephone calls for all office staff, takes and relays messages; responds to routine telephone inquiries; forward calls to appropriate party.
• Receives, date stamps and distributes incoming mail and purchase requisitions to appropriate office staff.
• Prepare special and recurring departmental reports by gathering data from various sources and tracking revenues/sales and projects; compiling and typing data.
• Revised Special Forms and department documents.
• Maintaining a variety of Logs and Files.
• Preparing Technical Data Sheets and information for the projects.
• Monitor departmental materials and supplies and orders internationally and Locally Purchases.
• Collects Direct Site Forms in order to prepare Attendance Sheet for Monthly Payroll includes labor costing.
• Prepare sales report (weekly, monthly & yearly)
Administrative & Secretarial Work
Duties & Responsibilities:
• Responsible for English Correspondence.
• Preparing Technical Submittal such as Project Drawings and Equipments. Materials for approval.
• Logging and filling communications both outgoing and incoming; and other related documents for the project particularly Engineering works.
• Performs documentation such as s forms, inquiries, quotations, comparison sheets and reports related to the project.
Duties & Responsibilities:
• Responsible for English Correspondence.
• Performs data encoding pertaining on water billing such as water consumption, water rates, account number and account name.
• Handles General Clerical and administrative work such as word processing, filling and keeping records.
• Prepares documentation such as forms, inquiries, quotations comparison sheets and reports for accounting and other financial purposes.
• Attended daily financial activities of the office such as cashiering and monthly/quarterly/annually remittances.
