Duties and Responsibilities:

Company is a Ship Owner & Ship Chartering Company with fleet of Vessels, 7 in No’s (CPP/DPP).

• Preparation of vessel status on daily basis.
• Monitoring closely daily operations of all the in house and chartered vessels.
• Close liaison & meeting’s with trading team on regular basis for discussing details on current and next possible fixture for both in house and chartered vessels.
• Basis meeting/discussion with trading team, arranging to send voyage proceeding orders, load & discharge orders etc.
• Appointment of agents at various ports, & close coordination with them to make sure all the necessary requirements are met viz, crew change, supplies, pre-arrival documents, berthing of vessel, loading/unloading etc.
• Close liaison with chartered vessel owners and brokers to make sure the all the vessel operations goes in a smooth manner with minimum possible challenges.
• Monitor the performance of the vessel’s, especially the chartered one as per the C/P terms and conditions, any issues to be brought immediately to the notice of ship owners/brokers and In house concerned department superiors
• Passing cargo documents instructions to agents for preparation of BL/CM draft, upon receiving draft from agents, same to be checked if in line with our instructions and advising changes/approval accordingly.
• After sailing of the vessels from port, coordinating with agents for getting all the related important documents pertaining to that particular cargo loading/unloading operation.
• Upon receipt of C/P from concerned chartering department, checking for all terms/conditions and making sure, vessels are performing in accordance with contract.
• Upon receipt of PDA/FDA’s from various port agents, checking the same for genuineness along with all required supporting’s.
• Upon receipt of all the invoices and claims from brokers/3rd party vessel owners Viz. Freight, Deviation, Demurrage, Waiting for orders etc., checking if same are in order and as per C/P terms/conditions. Any errors etc. need to be brought to the notice of concerned department/peoples immediately and to be negotiated/discussed & corrected accordingly.
• Liaising closely with accounts department for release of funds to various parties (Agents, brokers/vessel owners, other suppliers) etc.
• Acting as bridge between vessels and bunkering department, regarding vessel’s bunker requirement and assisting both parties to the max.
• Arranging for the on and off hire surveys of the vessels, in case of time charter of 3rd party vessels.
• Attending meetings with technical managers for better clarification on vessels technical/operational abilities and conditions and also on issues if any being faced by technical company/Vessel staff from our side.
• Liaising closely with technical department regarding their various requirements on vessel’s (inspections, repairs etc.), informing the same to trading team and vessel masters for smooth vessel operations.
• Liaising closely with Operation manager / technical superintendents for getting the vessel’s cleared for planned STS operations at various ports.
• Keeping record of all the emails and cargo documents for various vessels in house and chartered (Voyage, month & year wise).
• Acting as helping hand in cases relating to insurance, cargo claims etc. by liaising with brokers/insurers/vessel’s/agents for obtaining necessary related information/documents as per the need of the Operation & insurance/claims manager.
• 24x 7, Monitoring & closely liaising with vessel master and staff for all the operational needs at various ports or at anchorages as applicable.
• Maintaining records of C/P & Recaps for various vessels both in house and 3rd party chartered (Month/Year wise).
• Maintaining records of delays, non-compliance from various vessels and to make sure deductions are done accordingly in the invoices at the time of respective payments.

• Involved in trading/operation of other oil products (Gasoil, Gasoline etc.).

• Appointment of cargo agents, surveyors at different ports & arranging bunkers, fresh water, provisions etc.
