Supporting the CEO on a daily basis in the execution of his tasks.
Scheduling meetings, appointments, and managing the CEO's calendar, including coordinating with various time zones internationally.
Handling correspondence including emails, phone calls, e- mail., include preparing and editing communications on behalf of the CEO.
Organizing and facilitating various executive meetings, conferences, and teleconferences.
Coordinating both domestic and international travel plans for the CEO and executive team, which includes flights, accommodations, ground transportation, and itineraries..
Preparing, editing, and distributing documents such as reports, presentations, and briefs. Also, managing confidential documents and files.
Signing confidential files on behalf of the CEO, contract, agreements and letter.
Acting as a liaison between the CEO and other staff or external contacts, ensuring a smooth flow of information and addressing any issues that arise.
Assisting in managing projects, tracking progress, deadlines, and outcomes, often in collaboration with other members of the organization.
Processing expense reports of the office, executive staffs and the CEO, and processing all invoices from all vendors in the UAE.
Being cognizant of the cultural nuances when dealing with a diverse range of international partners, clients, and team members.
Conducting research on various topics as requested and providing summaries or analyses to support decision-making.
Assisting with the preparation and organization of board meetings, including creating agendas and distributing materials.
Taking in-charge of CEO’s confidential documents.
Manage, coordinate and maintain calendar of CEO including appointments and meetings.
Monitor and respond to incoming communications (including complaints) to CEO’s office including phone calls, emails and walk-ins, ensuring correct department distribution.
Providing all kind of highest assistant to the CEO and all departments.
Ensuring that all visa’s (employment and tourist visa’s) processed by
HR were handled on time.
Partner with HR to maintain office policies as necessary
Coordinate with IT department on all office equipment
Manage relationships with vendors, service providers and ensuring that all items are invoiced
and paid on time
Allocate tasks and assignments to subordinates and monitor their performance
Assign and monitor clerical, administrative and secretarial responsibilities and tasks among office staff
Perform review and analysis of special projects and keep the CEO properly informed
Ensure top performance of office staff by providing them adequate coaching and guidance
Participate actively in the planning and execution of company events
Coordinate office staff activities to ensure maximum efficiency
Recruit and select office staff
Organize orientation and training of new staff members
Design and implement filing systems
Ensure filing systems are maintained and current
Establish and monitor procedures for record keeping
Monitor and maintain office supplies inventory
Review and approve office supply acquisitions
Handling All CEO’s Company WPS application and transfer
Manage internal staff relation
Cashflow monitoring
Weekly Sales Target Monitoring
Ensure that all deliveries and staff request were assigned properly to the company driver
Act as Software administrator and coordinating with IT’s to solve existing software issues.
And responsible for calculating company revenue and tracking continuity and acquisition payments.
Completes requests by greeting customers, in person or on the telephone; answering or referring inquiries
Answering calls, outlook messages and handling correspondence
Organizing and servicing meetings (producing agendas and taking minutes prioritizing
Sending and making inquiries, Quotation and LPO to Supplier and as well as managing proper relation to customer in providing and assisting to what they required
Maintaining Status of Order up to delivery
Tracking all Orders and Delivery Schedule
Calculating Sales Report (Cost, Selling and Profit)
Handle the processing of all orders with accuracy and timeliness
Inform clients of unforeseen delays or problems
Prepare daily, weekly and monthly various report
Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
IT supports and uses variety of software packages, such as:
• Microsoft Word, PowerPoint, Excel, Outlook and etc.
• Photo Editing and manipulation ( Business Card) - Photoshop
• Brochure - InDesign
Performs all miscellaneous job-related duties as assigned.
