•Responsible to make transmittals of all kinds of documents thru Aconex.
•Create the placeholder at Aconex according to type of documents.
•Make transmittals from Supplier Model thru Aconex
•Make transmittals from documents register thru Aconex
•Follow up with clients regarding our outstanding submission.
•Generated the reports by exporting from Aconex as per requirement of management.
•Responsible for the day to day document management workload
•Regulate the transmission of all projects documents (drawings, procedures and administrative documents) between the company, partners and contractors
•Prepare documentation and status reports
•Follow existing project document control procedures
•Administer the Aconex online document management system
•Attend progress meetings as required.
•Process vendor’s documents and engineering deliverables.
•Interact with other disciplines, partners, vendors, contractors and provide reports.
•Provide technical assistance to the project team as required
• Implements systems for monitoring documentation / communication from both internal and external clients.
• Issue documets numbers and revisions.
• Make sure that control copies of latest received and approved documets and drawings are given to appropriate departments, staff and client as applicable.
• Receive, analyge, log, file, and retrieve engineer and paper-bassed documets.
• Maintain updated records of all approved documets & drawings and their distribution.
• Noting and preparing the minutes of meeting as per instruction high management.
• Works under guidance of the Document Controller Lead.
Provides assistance to the Project Management Team as required.
Prepares standard correspondence for the Project Team which includes document flow, basic cover letters, copies of meeting documents, etc.
Complies with tracking requirements in accordance with the approved procedures.
• Supports the receipt, tracking, and monitoring of documents through the use of standard document management programs to register documents, maintain databases, and produce logs, transmittals, and other reports as required.
• Performs other responsibilities associated with this position as may be appropriate.
• Gathering information for implementing the new project
• Collecting inputs from clients
• Listing out the Documents and documenting the project details
• Explaining the Project Plan to internal execution team
• Describing all possible document flow structure in the tbits application
• Tracking the pending documents through weekly progress reports
• Notifying the involved party for tacking appropriate action on the pending documents
• Manual follow up with the clients internal team to get an expected schedule for all pending documents
