Answer telephone, screen and direct calls
Take and relay messages
Arrange Visa and Hotel bookings/ restaurants bookings/ car bookings for guest
Greet persons entering organization / direct persons to correct destination
Prepare monthly report for Aramex couriers, Taxi Bookings
Arranges LPO's, PO, invoices and hotel guarantee letter
Deal with queries from the public and customers and supplier Ensures knowledge of staff movements in and out of organization
General administrative and clerical support
Prepare letters and documents, Purchase Order, etc.
Receive and sort mail and deliveries
Schedule appointments
Maintain appointment diary either manually or electronically
Organize meetings
Tidy and maintain the reception area
Responsible for monthly purchase and inventory of stationary items, supplies for pantry stocks.
Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries.
Directs visitors by maintaining employee and department directories; giving instructions to the guests.
Maintaining security in the receptions' area by following procedures; monitoring logbook;
Maintaining safe and clean reception area by complying with procedures, rules, and regulations.
Documenting incoming couriers, registered mails, incoming Invoices from suppliers and other documents received.
Manage the day to day operations of the shop.
Oversee overall financial management, planning, systems and controls
Ensures that financial target are fully met with regards to sales and revenue
Ensures customer excellence and deliver satisfactory outcomes.
Responsible for payroll, and other administrative works.
Hire train and evaluate core teams in the business
Attends and provides answers to the queries of all clients (members, agents, brokers, hospital, doctors, etc)
Monitor admissions and assist clients for discharge
Assist in determining eligibility for medical benefits (Emergency case, Outpatient & Inpatient)
Gives instructions on how to avail the benefits of the members
Issuance of Letter of Authorization for members that will be discharge after office hours
Reports and endorse all calls to the department concern, especially if a call needs follow-up answer.
Record and provides answer encountered everyday and classify them for reporting purposes.
Gives endorsement to clinics of doctors/ hospitals for members for consultation and other related matters regarding benefits.
