• Responsible in assisting the Vice President of Industrial Relations, Department Directors, Division Managers, Team Leaders and other Members of the company.
• Responsible in checking all incoming documents for approval/signature of the Vice President to ensure that it follows the company policy and procedures and attachments are complete with proper justification, items are filled-up with proper information, etc.
• Sending business meeting invitations to required personnel attending business meetings, workshops and other related business events on behalf of the Vice President & Department Directors.
• Maintains the Vice President and Department Directors MS-Outlook Calendar to avoid conflict of schedules on their meetings, workshops and other related business events.
• Coordinates the processing of E-leaves (Short leave, Vacation Leave, Repatriation Leave, Interim Leave, etc) of the Vice President, Department Directors and other employees.
• Responsible in preparing and processing the expense reports of the Vice President, Department
Director, and other employees incurred during their business assignments in-kingdom/out-of- kingdom as a form of liquidation or reimbursement of expenses as per company policy and procedures.
• Prepares and processes Vice President, Department Directors, and other employees Business Meals, Course Fees and other payments as per company procedures and policies.
• Coordinates with the company travel agency on booking reservation of flights, hotels, rent a car, taxi, etc., and the issuance of airline ticket / e-ticket for employees going to business assignments.
• Coordinates with taxi companies for taxi booking reservation on employees going to business assignments and visitors coming from other companies attending business meetings, workshops and other related business events.
• Assisting in booking Conference Rooms for business meetings, workshops and other business
related events and if required, initiate request on meals and light refreshments.
• Assisting the Quaity Assurance Supervisor of Training and Development Deaprtment in Analyzing and Evaluation of the In-Kingdom and Out Of Kingdom Apprentice requirements, indices, etc.
• Facilitates other paper works such as receiving/forwarding letters/memo such as inter
office/department, business visa request, document packages, fax messages, etc and gets approval from the approving officer as per company policy and procedures.
• Maintained the filing system of documents as per classifications and types such as incoming/outgoing communication letters, timekeeping, presentations (hard copy), and other documents related to the project for future office references.
• Operates photocopying machine, computer, scanners, projectors, fax machines, typewriter and other office equipments.
• Receiving company telephone calls as Operator (temporary) and transfer the call to the right
personnel, department, division or section.
• Performed other various types of complex jobs as per instruction of the Vice President.

• Prepares E-leave request (Short leave, Vacation Leave, Repatriation Leave, Interim Leave,
etc) as per employee request thru the SAP E-leave System.
• Responsible in preparing and processing of employees expense reports incurred during business
assignments in-kingdom/out-of-kingdom as a form of liquidation or reimbursement of expenses thru SAP E-Travel System.
• Prepares and process employee Business Meals, Course Fees and other payments as per
company procedures and policies thru SAP Miscellaneous Payment System (MPS)
• Prepares and process Ticket Refund Request for unused tickets during the employee Business
Assignments (in-kingdom /out-of-kingdom) using Saudi Aramco Form 228.
• Coordinates with the Global Travel Services (GTS) for the booking reservation of flight, hotels,
rent a car, taxi, etc., and the issuance of airline ticket / e-ticket for employees going to business
assignments.
• Coordinates with taxi companies for taxi booking reservation on employees going to business
assignments and visitors coming from other companies attending business meetings, workshops and other related business events.
• Assisting in booking Conference Rooms for business meetings, workshops and other business
related events and if required, initiate request on meals and light refreshments to Tamimi
Global Catering Company, Arabian Foods and other catering services companies.
• Assisting the System Programmer in preparing the required data on RTIP Apprenticeship On-
