Job Description: •Responsible for the maintenance of all equipment within the Hotel complex special emphasis on health safety.
•Responsible for the maintenance and repair works of all mechanical and electrical, heating and ventilation equipment ensuring the in going safe efficient running of the hotel.
•Responsible for the updates and maintenance of single and 3 phase supplied distribution system and all lightings in the rooms, gardens, public area and appliances, alarms system, motors, and standby generator.
•Takes dictation and transcribes material from shorthand into typed drafts for the Chief Engineer and review and correct as directed.
•Types in English and Proof reads a variety of material, such as letters, memoranda, reports, statements, tabulations, templates whilst assuring accuracy.
•Arranges dispatch and circulation of correspondence as required.
•Receives incoming mail, opens, stamps and logs/files as required and pass on to the appropriate people.
•Make sure confidential materials are filed, delivered and received in an appropriate manner.
•Prepares outgoing mail for dispatch.
•Receives inter departmental correspondence and other communication and passes it on to the appropriate people.
•Establishes and maintains a comprehensive filing system for correspondence and other communication and other documentation.
•Establish and maintain and appropriate meeting schedule and relate to appropriate people.
•Arrange for appropriate refreshments, other services required as per directions of the Chief Engineer.
•Establish and maintain appropriate communication & email system and pass on to appropriate people and excellent relationships with all relevant departments and persons.
•Receives and answers wherever possible and screens phone calls and other relevant communication.
•Handle special assignments as directed by the Chief Engineer.
•Preparing of Purchase Request in the FBM System to replenish the Eng. store items and to order new materials.
•Receiving of deliveries as per PR requested to purchasing and always coordinate with the receiving in-charge and materials manager.
•Update the FBM system for ordering of all Engineering items, Direct Items to purchasing and Engineering Supplies to General main store.
•Update of requisition for charging of all items from the Engineering Main Store to the corresponding store name (Maintenance General Plumbing, Heating, Building Supplies, etc….)
•Update the attendance from “Oasys System” for preparing and monitoring of duty roster.
•Updates and forward to the accounts all overtime claims, sick leave certificate or any other related documents for the payroll period.
•Updates and follow-up to contractors for the pending works and documents.
•Updates and maintaining the file records of all contract works.
