Maintain Project Documents and Correspondence using Electronic Document
Management System. Electronic document transfer (Uploading &
Downloading) with inter-Company, Design Consultants and other Equipment
Vendors through Server and Web Database.
Distribution of incoming transmittals to concerned discipline focal point as per
Project Distribution Matrix and also Issue of Transmittals to Contractors by
incorporating comments from various discipline engineers.
Ensure that the Company Document Control Policies and Procedures are
implemented by various contractors, sub-contractors and vendors who on
contract with company.
Managed the Organization central record system and supervises the
document classification, sorting, indexing, filing and archiving activities of
documents in accordance with company document control procedure.
Receiving Tender Queries & correspondences from Bidders and maintain log
on this regard.
Distribution of TQ’s to all concern discipline engineers and consolidating all
their comments in one native file and submit for management review &
approval.
Preparation of Tender Bulletins & its correspondence as per management
instructions and arrange to deliver by sending email notification to Bidders.
Familiar with the preparation of Technical Clarifications based on Technical
Bids review and respond to Bidders accordingly.
Distribution of Tender/Contract documents, Technical Specifications,
Drawings for Tenderers/Consultants, Project Dossiers, As-Built Drawings,
Manufacturers Record Books, O&M Manuals etc. to end users.
Responsible for administration support such as arranging site visits, Letter of
Assistance. Etc.
Receiving Specifications, Drawings and Documents from the Contractor, both
soft copies and hard copies, on behalf of the Consultant and the Client.
Register, manage and update registers for incoming and outgoing project
documents.
Maintain document control registers according to Company procedures.
Ensure the latest revision and approval status of documents/drawings is kept
updated continuously.
Ensure all hard and electronic copy distribution of controlled documents to
focal point for review/comment.
Expedite responses by transmittals to Contractor before their deadline.
Ensuring that all documents are kept and filed in the appropriate company
departmental archive.
Respond to queries regarding revision status of issued drawings/ documents
from engineering and procurement.
Filing and archiving of documentation to facilitate easy retrieval at a later
date.
Act as a part of the Administration Team to meet Divisional requirements.
Arranging security clearance, security passes, LOA, Access cards, Optima
cards and all other contractor and sub-contractor contractual requirements.
Arranging chopper booking and accommodation with site visit arrangements
to Zakum and Umm Shaif fields.
Coordinate with all internal divisions to complete the project requirements
such as IT, HR support for project PMT & PMC.
