• Manage all stocks of ACF Dadu (programmers, projects, office and general supplies) except Guesthouse stocks (managed by HR Assistant)
• Ensure proper identification of all arrival/departure material (quantity, quality, and delivery).
• Ensure correct preparation of deliveries
• Respect ACF physical stock management requirements (organization, cleaning, ventilation)
• Follow-up with special attention expiry date of drugs & food, and warns the concerned department two months before expiry date.
• Conduct monthly inventory of stocks and ensure that stock cards are created, up-to-date, and accurate.
• Update Stock Report & Stock Follow Up on a daily basis. Disseminate to project staff on base on a weekly basis. Present to Base Log for Monthly Log report on 1st of each month.
Objective 2: CARGO AND DISPATCH MANAGEMENT
• Prepare all cargo and shipping documents (Delivery Note, etc.) to be transported to the programs / distributed to programs for use in the field.
• Ensure safe preparation and loading of cargo onto transportation vehicles
Objective 3: EQUIPMENT & ASSET MANAGEMENT
• Oversee the reception, transfer and dispatch of all equipment allocated on the base according to Kit Log 3 Equipment guidelines.
• Maintain equipment files, individual file for each piece of equipment, according to Kit Log 3 guidelines.
• Follow up at least weekly with Capital IT Logistician on any status of any pending equipment to be transferred from ISB stock / equipment that has been sent to ISB for repairs. (N.B. Equipment to be procured in ISB will be followed up by Base Log). Report findings to Base Log & Hob and staff concerned by email.
• Perform physical check of all equipment’s on a monthly basis in collaboration with HR & IT Assistant. Note any concerns in the Monthly Equipment List and notify Base Log.
• Update the Equipment List with any change in equipment allocation etc. Submit updated list to Base Log for monthly report no later than the 1st of the following month.
• Maintain Small equipment’s inventory list (cameras, hard drives, USB, internet sticks etc.).
• Ensure Temporary Allocation forms are signed by all staff to whom a piece of equipment is assigned.
• Facilitate external repairs of equipment when needed, as directed by Capital IT (e.g. to Karachi or Hyderabad). N.B. The Store Manager is NOT responsible for minor repairs or installations on equipment these are done by IT Assistant on the base.
