Finding Customers
• Finding the right customers by searching local search engines targeting all sectors for general purpose cargo
• Cold calling to arrange appointments, random visits to market to know customers interest and insights
• Presenting the company services and offerings effectively for clear understanding of customers.

Execution
• Sending the recorded or IN mail inquiries to relevant agents in origin countries or 3PLs, LSPs.
• Getting the rates, summing up the total costing, including all charges, and adding appropriate profit margin or according to company policies at both ends
• Preparing the detailed quotation with dates of validity, transit time, and description of goods, terms and condition at both ends.
• FCL, LCL, modes, terms of services like EXW, FOB, and C&F etc.
Closing
• Sending the on hand quotations to customers, with details
• Follow ups for confirmation, negotiation if any target rate
• Clearly communicating how the solution is matching the needs of customer, successful tracking of shipments
• Negotiating with agents to close deal, widening profit margin, sending booking details and pickup confirmation to customers
• Setting profit share with agents per 20ft and 40ft containers, air freight, LCL, ETA, ETD, vessel cut off, routing, voyage.

Data management
• Noting shipment data, with relevant quotation, into ERP system for further processing and records purposes
• Processing daily freight activities air, sea and land documentation and entering the relevant data in to system according to customs rules and regulations, laws
• Entering the weight, volume, quantity, costing, pieces, pallets, containers, parties involved into system for correct procession
• Perform material handling, receive and deliver to the desired routing, processing, recipient or any other concerned party.
• Communicate, coordinate, follow up and report about on processing or hold items to be manipulated, delivered to other parties, or provide feedback about status.
• Perform filing and documentation issues as prescribed for them, and provide with vital assistance in keep records and following up status for under-processing shipments.
• Processing new files with road, air, sea and custom clearance categories with arrivals dates sequence for on time execution according to prescription from sales staff or client
Coordination
• Working as a front desk, by answering phone calls, emails, and handling complaints for customer service
• Material handling, its delivery or holding according to current status from system, or emails
• Reporting the shipment hold issues, under process shipments to management for feedback
• Recording the relevant date for under process shipment and to execute plan later
• Tracking with international agents, shippers for shipments routing, performing clearing formalities at ports when required
• Coordination with staff, giving feedback and getting instruction to ease workload with smooth flow according to scheduled delivery
• Good relations with shipping lines, brokers, agents and 3PLs.
• Inspection of cargo or loading site when required
• Updating about customs rules and regulation, tariffs, customs duty, HS codes.
• Contacting the client for cooperation in unloading help like forklift, labor arrangements at site
• Collection and exchange of documents, House bill of lading, Master bill of lading, submitting BL instructions, Manifestation to the lines.
COSTING
• Entering the exact charges, with type and relevant agent, with description in appropriate category
• Calculating the total files opened and reporting their revenue to management by month wise
• Managing the 3PL budget, and petty cash for office.
Procurement (Chocolates division)
• Checking all purchase requisition details generated in system on daily basis.
• Updating available stock details in system against all purchase requisitions.
• Preparation of local and import purchase orders for all non-stock items, forwarding all purchase order copies to respective vendors.
• Checking regularly with vendors for order confirmation and material delivery dates to meet the delivery deadlines.
• Making new vendors as per purchase needs
• Price comparison details from various vendors for checking best prices
• Preparation pending purchase orders list on weekly basis and discuss with supply chain manager.
• Checking regularly with the suppliers and manufacturing units and make sure the purchase orders are executed in time and the delivery is maintained within time frame.
• Checking regularly the expected stock arrival date of each items in system and maintain an updated pending purchase order list on daily basis.
• Calling sales team about the arrival date of un-stocked items
• Researching and find better prices and delivery times from local suppliers for all local purchased items.
• Assisting Export and Local sales team in their day to day activities.
• Updating the stock register and make sure all items are ordered properly against the sales order bookings.
Admin Work
• Maintain the diary and arrange appointments as necessary.
• Operate standard office equipment such as the computer, photocopier, scanner etc.
• Type reports and routine correspondence from dictation or written sources.
