Employee Database Management (Manual & Oracle HRMS):
• Maintain and upkeep personnel files for all units with confidentiality.
• Ensure all employee records are up to date both in Employee File and Oracle HRMS.
• Prepared a checklist to ensure that all employment documents required are attached and updated in the employees’ personal files.
Oracle HRMS:
• Working on Oracle HRMS software for New Employee ID creation, Leave Management (Updation & Deletion), Salary Management.
• Using Oracle to pull different reports like Master List, Salary Slip, Leave History, to apply for new Visa or Visa/ Labour Renewal or Amendments in Labour Contract, to create Purchase Requisition etc.
New Employee Joining Formalities:
• Responsible for induction of new employees into the organization. Always seek to ensure that all new employees are integrated into the company in an effective way.
• Prepare offers/contracts for new employees. Ensure they are duly signed.
• Add the employee on the Oracle HRMS system and create personnel file.
• Ensure that IT, procurement departments and relevant staff in the unit is pre-informed about the new employee joining date.
• Facilitate the necessary visa process for the new employee through the PRO.
• Pass on the salary information to Accounts.
• Follow-up end of probation periods and prepare necessary confirmation or termination letters.
• Liaise with Head of Departments, Managers, Group Leaders and Employees.
Medical & Life Insurance Administration:
• Enroll new employees and dependants on to the policy and Deleting resigned employees in a timely manner.
• Assist employees in problems with pre-approvals or claims as and when necessary.
Facilitate Visa Process:
• Facilitate the visa application through the PRO and ensure timely completion of the process through close follow up.
• Keep the relevant staff updated during the visa process and seek clarifications as and when necessary.
Salary Certificates, Salary Transfer Letter & Other Letters:
• Draft salary certificates Salary Transfer Letter, NOC’s, Employment Certificates and Experience Letters for employees.
• Co-ordinate employee exit formalities.
• Inform relevant departments about the last day of employment of the employee.
• Inform the exiting employees & line managers about the exit formalities and company property to be returned on the last day as well as the visa formalities taken care of.
Internship Programme:
• Provide training to the student/ Intern doing projects on HR operation.
Exit Formalities:
• Ensure Labour/Visa Cancellation process is complete before the last working day of the employee.
• Coordinate with Accounts Department for the preparation of Final Settlement.
• Conduct Exit Interview.
