To assist in the development and delivery of all bids and projects, ensuring pre-qualification
questionnaires and all tender documentation are completed.
To draft and review bid submission content, ensuring all bids are submitted on time and fully
compliant with the requirements.
Ensure all proposals are formatted and comply with company brand guidelines, customer
requirements and follow internal quality guidelines.
Coordinate clarification questions, forward to client and monitor responses.
Maintain bid information on Microsoft Dynamics 365 (AVALON) and ensure the information
accurately reflects the project status.
Responsible on generating proposal reference numbers for new inquiries and project numbers for
awarded proposal using Microsoft Dynamics NAV software.
If required by client, responsible on preparing and requesting bank guarantees (Tender &
Performance Bond) to the bank.
Work with Commercial and Project Managers on new bids through mobilisation and the initial
stages of transition periods to ensure all elements of the bid are fully understood by operational
management team.
Coordinate with other Opcos/sister companies to complete the proposals.
Submission of proposals and any required documents to client and creating Transmittal Note for
records.
Maintains good filing system for the commercial department and make sure all documents are
updated (i.e. Insurances, CV’s of personnel, Method Statements, Financial Statement,
Certifications, Trade License, etc.)
Follow up with client the submitted proposal on a timely basis.
Prepares and submit invoices to client.
Performs any other tasks/activities that might be identified by the department manager.

Responsible for the efficient job cost tracking for all quoted & non-quoted projects to determine
if the job is profitable at the end of the job and for invoicing purposes as well.
Prepares daily/weekly/monthly reports.
Updating daily the job tracking file.
Listing out the Documents and documenting the project details
Maintains specifically assigned project database/s.
Monitors development, population and maintenance of the database and ensures that it is up to
date and includes current/correct data.
Scanning in all relevant new documents.

Preparing Material Request Form (MRF) approved by the Project Managers.
Selects vendors, places orders, and may arrange for service contract.

Liaison with approved suppliers, as when necessary, using the most appropriate means, to check
product specifications, stock availability, delivery times, etc.
Maintenance of the Supplier catalogue library and product samples.
To undertake any other duties as necessary within the Purchasing Department.
