DUTIES AND RESPONSIBILITIES:

Working as an Assistant to Purchase Officer to manage & control the purchase of spare parts.
Plan, direct and monitor all purchasing activities to ensure the materials, suppliers and services meet the organization standards in price, quality, timing and reliability of supply and inventories are maintained at desired levels.
Request and analyses quotes and competitive bids.
Negotiate procurement terms and conditions, e.g., quality standard, price, delivery lead-time, etc.
Responsible for giving approval to process the purchase order, GRN, GTN and other documents in accordance with company policies and procedures.
Monitoring full spectrum of procurement and delivery status closely with suppliers.
Prepare monthly reports and summarize data as per management’s requirement.
Develop plans, cost estimates, schedule for integrating these needs into existing purchase activity.
Assist in accounts payable in the time of invoicing / price discrepancies.
Guide & provide leadership to procure the materials through acquiring of new knowledge and skills.
Drive continuous improvements, e.g. Quality improvement, cost & delivery lead-time reduction, etc.
Letter drafting & Typing with in required design format, and data by using application software, viz. Microsoft Excel, Microsoft Word & Power Point.
Hiring of different type machineries & Vehicles for different project
Preparing agreements for hiring machinery
Receive telephone calls. Answers to routine questions or takes messages. Refers other matters to appropriate personnel.
Attend to all incoming emails, sorts/logs and distribute as required, responses the same.
Create and maintain filing systems, records and indices, including files of confidential nature. Keeps reference files.
Responsible for registration documentation of new vehicles including Baladiya (Muscat Municipality approval), vehicle joint registration agreement, insurance papers registration form of ROP (Royal Oman Police) for the company
Responsible For documentation regarding endorsement of vehicle in insurance policies, renewal of fleet insurance policies having more than1000 vehicles & Equipment endorsed in different fleets.
Maintain an orderly filling system for vehicles & personal files of all drivers
Schedule repair and Maintenance work to vehicles as needed.
Register incoming documents by “RECEIVED” stamp with corresponding date at the time of receipt and register the subject documents in the Document Control Management System.
Receiving and sending the mails through MS-Outlook, fax and other medium.
Perform any other clerical or miscellaneous duties as requested by the immediate superior.
Assisting with manager’s routine queries and with professional manner.
Preparing for notification of monthly performance.
Perform other duties as assigned.
