Act as a Coacher to line managers on the implementation of company’s policy and procedures.
Handle Annual Leave process in terms of submission and resumption accordingly to plan annual leaves.
Coordinate joining arrangements for new employees, as per new joiner checklist. Conduct office orientation; open an employee file for new joiners. Monitor that department heads provide feedback on completion of probation.
Preparing staff handbooks to ensure that the workforce is aware of company policies.
Ensuring that grievance handling and disciplinary proceedings are carried out in line with company policy and national legislation.
Design, plan and implement R&R activities for inter - departments.
Provide logistical and material support for bonding activities in a department or branch.
Recommend ER programs and programs for approval.
Implement and administer ER programs for fostering inter-employee and labor-management relationships.
Work on and developing programs for employee services such as events, recognition, and communication.
Assist in creating a Social Committee to be organized for team bonding between employees and managers.

Job Purpose
Primarily responsible for assisting the department in its day-to-day operations in the areas of benefits, administration, wage & salary administration, and employee discipline; ensures the timely update of the Human Resources Information System (HRIS); relieves other HR/Admin Assistants when necessary.

Key Duties
1. Updates the HRIS by encoding new employees, position changes, lateral transfers, change of assignment, grade changes, salary changes, benefits entitlement/s, and all other personnel movement of employees.
2. Maintains the integrity of the HRIS by keeping its confidentiality at all times.
3. Handle FCCI CV Database for new recruitments & responsible for Job postings in websites.
4. Coordinates payroll changes for deductions or adjustments by forwarding pertinent approved documents to Accounting Department.
5. Processes clearances of separated/resigned employees by preparing final settlement and ensuring proper turnover of issued mobile/s, mobile accessories, SIM card/s, car turnover, apartment keys, etc. prior to the release of the final settlement.
6. Maintains 201 files by keeping these updated at all times.
7. Releases monthly list of employees under probation to Projects Manager/s and monitors the same for subsequent benefit entitlements of permanent employees.
8. Coordinates with the Senior Administrator for all medical insurance needs such as additions, deletions, and changes.
9. Prepares reports and executive summaries; collects or extracts data from the HRIS as needed for essential decision making by Management.
10. Monitors usage of company cars by receiving keys, ensuring proper documentation of the state of the car through ocular inspection, ansd coordinating with the rental company for vehicle maintenance.

Job Purpose

3. Sends the contract file via email to the HR & Admin Manager for approval / signature and receives the same prior to printing of the official employment contract.
4. Distributes signed employment contract to employee/s and files the other copy in the 201 file; provides Accounting with a photocopy for encoding of salary, benefits, and /or allowances in to the payroll system.
5. Conducts Employee Orientation, request for official email account of employee from IT department.
6. Ensure the application of internal policies and procedures.
7. Handle all separation process, exit formalities / final clearance in coordination with accounts department.
8. Coordinate all training administration and handle employee relation activities.


Assisted all Departments by establishing an advanced program for recruitment and staffing which made the organisation to finish the targeted manpower requirements on time.

An organization study in Parvathy Mills a unit of (NTC), for a period of 5 weeks.
