Administrative & Office Management duties
Providing administrative services including drafting letters and organizing meetings for the Ghana Country office especially Finance & Administrative Department and the Country Manager.
Creating files for incoming and outgoing correspondences of the organisation
Manage the front desk including the telephone console for the office
Manage Petty cash
Provide assistance in processing requests
Preparing of staff quarterly timesheets
Logistics Duties
Ensuring proper record of the movement of items from the stores as well as ensuring that stock-out items are replenished
Coordinate purchase requests on behalf of the Procurement Committee
Ensuring that all office assets are properly insured
Preparing of weekly vehicle movement schedule
Ensuring that all office computers, air conditioners, fire extinguishers are in good working conditions at all times
Liaising with Regional Logistics officer to ensure that the office generator is fuelled and always in good working condition to be used in cases of power outage
Any other duties assigned to me by the Country Manager or the Finance Officer

Responsibilities: - Front Office
Receiving visitors to the office, be the first point of contact, provide pertinent information or direct them or arrange an appointment with the relevant staff members.
Make and receive calls through the main office telephone lines, redirect calls or take messages.
Set up appointments for Country Manager and other programme staff.
Receiving, registering, acknowledging and distributing contents of mails from other offices, etc.
Ensuring out-bound mails are sent out regularly to the designated offices.
Keeping and updating reference numbers for outbound mails.
Updating the internal telephone/email contact list for the country office and distribute to staff members.
- Office Support
Providing secretarial support to the Programme and Finance teams (Filing, photocopying, etc.)
Typing reports and documents
Establishing a filing system and archiving of paper and computer files.
Ensuring registration documents are in order and filed according to Statutory requirements
- Petty Cash Management
Taking custody of petty cash
Handling and dispensing petty cash
Ensuring petty cash vouchers are approved before disbursement of cash
Preparing monthly reconciliation of petty cash disbursement for the month
Requesting petty cash replenishment when necessary
-Other duties
Store keeping duties
Performing some logistics and finance duties and holding fort for the finance officer in his absence.
Organizing and arranging meetings
Preparing of quarterly timesheets and summary sheets
Any other duties assigned to me.
-Receiving and dispatching correspondence
Receiving and attending to Visitors and Customers
Receptionist and telephonist duties.

Organizing and serving at meetings and workshops

Holding the fort for my boss in her absence
Coordinating with other members of staff in relation with the job.
