Admin Duties :

Responsible of the Staff Guest House in Khartoum & Port Sudan, cleaning and keep up as well as follow up on the payments and ensure that all payments related to accommodation in the guesthouse are properly attained.
Responsible of Contracted Service tracking, expiry dates and due dates of termination notifications
Responsible of supervision of usage and replenishment of the First Aid Kits in the Office Premise
Initiate& finalize purchase requests and monitor use of the office supplies stock; beverage and
hospitality supplies stock etc.
Responsible of stock management of office supplies and other supplies in the stores.
Responsible to process payments to the contracted service providers and payments for all Admin
initiated works except payments related to visas. Manage hotel booking contracts in Khartoum (National and international staff) -managing hotel and accommodation contracts for both national and international. (monthly reports)
Responsible to keep, in a user-friendly manner, the Admin filing system and Archive files and
documents (record retention).
Responsible of arrangements of events, workshops, meetings and training conducts by SCS in the Office as well as preparing for the one conduct outside the office. Manage leases (office, accommodation, storage, etc)
Maintain and repair facilities
Arrange utilities
Plan and schedule external visits
Manage visitors’ travel and accommodation
Business Development Duties (Import-export):
Coordinate requisitioning and ensure timely delivery of shipments to destinations.
Manage logistics
vendors' contracting activities including performance monitoring and measurement.
Follow and monitor service providers and push for improvements and solutions;e.g all inter modal
inquires from customers using multiple modes of transportation(e.g.truck)
Identify, resolve and/or provide recommendations on specialized queries/requests for support,
sing initiative and following standard processes, to ensure timely and accurate resolution of
inquiries with excellent client service mind-set. Continuously liaise with transporters on all
operations going on in the Port to customer's ware house
Daily follow up with the transporters on the issues and difficulties facing them and reflect it to the HQ
Following up with customers and ensure receipt of complete set of required shipping documents
Assist in doing monthly report regarding the contracted clearing agents as well as market prices

Follow & monitor the market rates, identify account needs, opportunities and key buying factors for existing customers and formalize.
