Preparing Service Proposal to client’s manpower enquiry and sending it through e-mail as well
Ensuring that database (ERP system) is updated and all credentials of workers, staffs and clients are properly documented.
Making follow up with the pending LPO’s to the client
Assure the follow-up of all incoming/outgoing documentation
Perform clerical duties such as filing, photocopying, faxing etc
Answer, screen and forward any incoming phone calls while providing basic information when needed
Preparing purchase orders for local and international
Monitor incoming e-mails and answer or forward as required
Maintain proper filing and storage system
Monitor and maintain office supplies
Ensure office equipment is properly maintained and serviced
Generating needed reports requested by co-workers
Arranging necessary documents for worker’s mobilization
• Conducting daily, weekly and monthly inventory and posts totals to inventory records, manually or using computer
• Comparing actual count to inventory records and investigates reasons for discrepancy if there are variances
• Encoding delivery receipts and documents needed in database
• Arranging Product Specialists’ daily time record for payroll purposes
• Managing incoming and outgoing supplies and stocks within the business
• Preparing business related correspondence like sending emails, memos
• Dealing with incoming email, faxes and post
• Updating the promotions of each item based on the memorandum that the head office was sending
• Responsible for making follow up with customer’s defective units to the authorized service centers
