Duties and Responsibilities:
* Control all incoming and outgoing documents/drawings etc. Ensure timely issuance
& distribution of all approved drawings/documents to all parties as stated in the
distribution matrix contained in project procedures;
* Daily routine activities of Document Controller, including distribution of documents,
maintaining electronic folders and directories, tracking and retrieval of documents
and drawings;
* Establish project document register for specific projects, log and file
communications, update drawing and document status records and generate reports
when requested;
* Ensure that all technical project drawings and documentation are received, checked,
accurately recorded and distributed in an expeditious manner according to agreed
project procedures;
* Assist in the preparation of required copies of technical reports, compile the PDF
versions and transmit to the clients;
* Maintain the accessibility and safety of documents and drawings in the Document
Control office;
* Provide reports to the design and site team including activity Logs, RFI Reports,
workflow reports and registers as needed;
* Maintain supplies inventory, check stock to determine inventory level, place and
expedite orders for supplies;
* Provide administrative support to ensure efficient operation of office
* Perform other administrative tasks necessary for the completion of documentation as
required by the clients;
* Perform other duties assigned from time to time.
Maintain the files and control logs as required by the project
* Maintain the accessibility and safety of documents and drawings in the Document
Control office;
* Maintain updated records of all approved documents and drawings;
* Ensure that encoded document data are accurate and up to date;
* Ensure that controlled copies of the latest approved documents and drawings are given
to the appropriate staff, subcontractors and suppliers;
* Generate various document control reports as required;
* Maintain the document tracking system for easy update;
* Ensure that all needed hard copy documents are filled and scan new documents as
needed;
* Perform other duties assigned from time to time.
Duties and Responsibilities:
* Answer incoming telephone calls for the department and written down message
details.
* Manage the calendar and arranges appointments/meetings of the Department
Manager
* Encode official documents and other correspondences
* Receive and assists clients and/or guests during meetings and conferences.
* Sort and record all correspondence and documents for dissemination to concerned
offices
* Compile, sort, file and maintain record of the office including all its transactions
* Monitor outgoing and incoming documents and coordinates with other department’s
concerning its status
* Draft basic letters and memoranda
* Update and maintains inventory of office supplies
* Process and prepare government forms such as disbursement voucher (DV), Budget
Utilization Request (BUR), Requisition and Issue Slip (RIS)
* Assist in general office work such as reproduction of various materials needed and
collation of reports
* Perform other functions that may be assigned from time to time
Duties and Responsibilities:
* Prepare accurate, rapid cost calculations and provide customers with quotations
* Negotiate the price, costs, delivery and specifications with buyers and managers
* Negotiate the terms of agreement and close sales
* Participate in the discussion on forthcoming product developments and special
promotions
* Liaise between the company and its existing and potential markets
* Prepare Purchase Order to Supplier & check the progress of existing orders
* Check quantities of goods in the warehouse and in stock
* Prepare sales record and order information and send copies to the sales office, or
encode in the computer system
