Reporting directly to QATARGAS II - Asset Manager
Providing all technical support to the Operations Team and also responsible for all Admin/Secretarial/Documentation jobs related to Operations
Responsible for writing discussions in meetings (minutes of meeting), preparing daily agendas/presentations, preparing weekly/monthly reports and attending department workshops/events sessions as necessary
Provide a complete correspondence service for the line Manager, routing correspondence as necessary, drafting replies and composing letters/memorandums on behalf of the Department Manager
Responsible for taking and conforming appointments, handles the tasks of screening and responding to calls and passing messages
Coordination with outside clients for department events such as arrangements of flowers, gifts,
Replenish stationery and arrange servicing of office equipment to ensure the line Manager can function effectively and efficiently
Make travel arrangements in a time-effective way, including complex itineraries/venues, hotel bookings, visa application to embassy if necessary
Maintain all documents updated electronically in the QATARGAS SharePoint which can be accessed by members of the Operations Team and other departments as well
Arrangement for internal meetings, arranging transportation for departmental staff for site visit and arrange gate passes of the RasLaffan Industrial City & QATARGAS visitors
Process all overtime time sheets for all sections under QG2 Asset Department and deal with any pay discrepancies.
In charge of updating the Department’s Manpower Organization and recruitment process.
Liaise directly and maintain open communication with all other departments outside operations under QATARGAS.
Prepares correspondence and memorandum
Prepares and maintain schedules and agenda for meetings & appointments
Coordinates with the suppliers; in-charge for the collection of payments from customers.
Screening of Applicants
In charge of Recruitment
Prepares contracts and ID’s of the new hired employees
Facilitates applicants with their pre-employment requirements
Assisting applicants with their account opening forms
Organizes re-sourcing and related files/documents
Provides administrative assistance to re-sourcing and HR Relationship Managers
Maintains all applicants’ files and ensure confidentiality.
Monitors manpower status / attendance
