• Reporting directly to the GM and Project Manager;
• Responsible for the document management function of the project;
• Answers queries raised by disciplines, clients, and vendors regarding document submissions;
• Participate in internal and external audits;
• Maintain up-to-date document register of documents and drawings;
• Issue documents and drawings and update the Electronic Database Management System that covers Engineering, Fabrication, Procurement, and Vendor deliverables;
• Timely submission using EDMS, process incoming documentation and distribution of documents, reports & data to the Project Management Team as per the project distribution matrix;
• Manage transmittal of information between Company and Contractor and project and other company organizations ensuring appropriate database/log entries for tracking purposes;
• Receive and store all documents/drawings in accordance with the established procedures;
• Develop and issue document control status reports;
• Manage project files from project start to close out;
• Work closely with document management & control in other areas to ensure procedures, standards, and work instructions are maintained and modified as required;
• Basic quality checks (ensuring proper revision history including revision notification in drawings/documents, spelling & grammatical checks);
• Proper formatting/adjusting of all documents as per client’s standards;
• Communicate and liaise with Project Teams, Suppliers/3rd parties to agree with standards, systems, efficient flow of documentation, handover, and close-out of Project activity to ensure consistency in document control as required;
• Maintain confidentiality around sensitive information and terms of agreement.
