Duties and Responsibilities:
• Provide full administrative support to Corporate Structuring Department, consisting of 1 Partner, 1 Associate and 2 Paralegal.
• Monitors closely emails of the Fee Earners and files them electronically, prepares responses to emails if necessary.
• Gather KYC documentation as per Qatar Financial Centre AML policy by researching in the web or requesting from clients; collate and verify gathered information.
• Schedules and makes appointments for Fee Earners as required; organizes travel, hotel and itineraries for international and local travel.
• Organizes and maintains legal documents and case files; drafts and types office memos, legal opinions, etc.
• Prepares complex proformas / invoices for clients in a timely manner (i.e. multiple discounts by matter, preparation of electronic bills) using Elite system; follow up Accounts Receivables to meet monthly collection target in close coordination with the Accounts and Finance Department.
• Receives, screens and responds appropriately to telephone calls, inquiries and requests on behalf of assigned Fee Earners as directed by them; take accurate messages and follow up as requested in order to ensure client inquiries are dealt with promptly and professionally.
