• Ensure that the latest revision and approval status of drawings is kept updated continuously.

• Ensure all hard and electronic copies are distributed to the appropriate parties.
• Expedite and maintain acknowledgements of transmittals (i.e. documents for review and comments, in addition to flagging unanswered correspondence).
• Manage the electronic and hard copy filing of project related technical documentation.
• Scan incoming documents/drawings/plans for file manipulation.
• Assure document quality to include completeness, accuracy and compliance with established procedures and updates.
• File and archive documents to facilitate easy retrieval at a later date.
• Ensure that drawing transmittals are acknowledged in case there is a dispute on whether the drawings were transmitted.

Duties:
• Oversee management of review and approval process of project documentation within the EDMS (Electronic Document Management System)
• Establish criteria for Quality Checks (e.g. project numbering protocol) in compliance with Project requirements
• Ensure the Document Control staffs are performing required Quality Checks upon receipt of Submittals and initiate corrective actions.
• Maintain and update Project Distribution Matrices for external and internal parties
• Act as a focal point to address queries regarding current status of project documentation for both internal and external parties
• Assist in developing Departmental Standard Operating Procedures and Work Instructions
• Manage the daily work load of the Document Control Department and staff
