Planning and scheduling meetings of F&B Executive Assistant Manager.
* Preparing correspondence, reports, and presentations.
* Managing the day-to-day operation of the F&B office.
* Keep stocks of office stationaries.
* Organizing and maintaining files and records such as F&B monthly reports, F&B marketing collaterals,
employee personal files, Departmental SOPs, payroll system, etc.
* Handles restaurant reservations
* Assist and follow up on all F&B marketing projects, collaterals and making sure that it’s always released on
time.
* Assists marketing in all F&B-related promotions.
* Participate in Sales calls for F&B promotions
* Prepares contracts, arrange visa and other formalities of the hotel’s Entertainers.
* Providing quality service to both internal and external guests.
* Represent the Department in various activities of the hotel either for guests or colleagues related.
Prepares letters, reports, and any other mailing or correspondence including memos in an efficient manner.
Updates all documents in preparation for the Annual Hygiene and Corporate Food and Beverage Audit.
To keep the Executive Chef’s agenda updated and remind him of his appointments. Attends meetings in the absence of Executive Chef or Executive Sous Chef.
Set up and maintain files according to the established system. Keep trace files and inform the persons concerned about the due dates.
To keep stock of stationery for the office makes requisition if necessary.
Attend monthly Food Safety meetings take notes and distributed them to the FSMS team.
Regularly update culinary manning. Screens candidate for suitable positions conducts interviews and organized food trials for potential candidates.
To remain confidential about all matters of such nature
To show initiative in the daily task in the absence of the Executive Chef. To report on what action has been taken upon his return
To monitor and file a leave of all culinary staff, book leave tickets, and updates their leave balance as per the hotel’s policy as well as filing sick leaves.
Prepares monthly payroll for all kitchen staff.
Keep files of all kitchen staff and screen their movement within the department. Follow up on each staff’s performance evaluation and assist in identifying potential staff for promotion.
Assist hygiene manager in all hygiene and food safety documentation.
Assists Executive Chef and Hygiene Manager in walkthroughs. Sends out reports and does follow-ups.
Conducts administration training if there are new systems in place
Duties and Responsibilities:
* Greet, welcome, and escort guests to their respective tables.
* Updating reservations for lunch and dinner.
* Making buffet labels for both lunch and dinner, and coordinating with the executive chef with regards to the
daily rotation of buffet menu.
* Cleaning and checking bill folders, menus before each meal period starts.
* Updating guest history and profile to recognize VIP and regular guests.
* Coordinate with restaurant reservations for collecting business cards, group bookings, or promotions of the
outlet.
* Conducting sales call for special events like Ramadan or festive season.
* Coordinate with supervisor in charge with regards to the table set up and conducting training for product
knowledge.
Sending online notifications for prospective clients about the membership application.
* Assists members on how to pull up credit reports online.
* Notifies members if there are discrepancies in their credit reports.
* Constantly sell the features and benefits of the online membership to keep the loyalty of the members.
* To properly guide online users on how to navigate the website and answer all queries accordingly.
Responsible for providing customers with prompt service, quality beverages, and products within a friendly,
welcoming, and clean store environment,
* Following standards and guidelines for beverage preparation/housekeeping.
* Following daily objectives within service demand/ duty schedules to ensure store is clean and stock is rotated
and merchandised.
