• Training & Induction
• Provide a short induction for all new joiners as well as transfers by showing around the office and introducing them to managers/partners/EAs.
• Process all new joiner’s health and life insurance as well as on-going amendments in status.
• Prepare start-up schedules for all new hires to ensure proper integration and training in conjunction with the Training Manager.
• Coordinate and acts as a training liaison to the Training Manager and HR Manager on local and global training of Consulting Support Staff (CSS) and consulting employees.
• Schedule, book and communicate all training dates, programs, and materials to relevant nominated staff.
• Provide support for the Buddy program to new joiners.
Staffing and Reviews
• Set-up and generates monthly Case Team Status Update (CTSU’s - Team Temperature Testing), publish results and cross-checks information with the Human Capital System (HCS - Staffing system).
• Coordinate with and supports the HR Manager, Staffing Manager and Human Resource Professional Development (HRPD) teams with HR program activities that include bi-annual consensus reviews, Case End inputs (done after each case is complete), Upward Feedbacks (done after each case is finished on management) and any other ad-hoc work that may occur relevant to HR.
Vacation Request System (VRS) administration
• Process all pending vacation requests through the appropriate workflow chain and approve/reject as appropriate according to Bain policy on employee vacation time and time out of the office. Ensure vacation time is tracked appropriately on the staffing officer spreadsheet.
Departures, Externships, Leave of Absences and Transfers
• Assist in administering all externships and transfer programs while coordinates and manages all communication and documentation required.
• Coordinate departure process for all staff to ensure smooth transitions: Prepare all paperwork, agreements, and packets with the employee, and communicates departure to appropriate office staff. (Finance, Technical Support Group, Office Manager, etc.)
• Assist in administering transfer and leave procedures by preparing LOA agreements, transfer agreements, offer letters, MBA sponsorship agreements and liaise with the recruiting department on offers, transfers, and acceptances.
• Coordinate case demand transfers by sourcing appropriate accommodations with our preferred corporate rate hotel and real estate agents. Assists in the preparation of transfer contracts with the Global Mobility Team and local HR Manager.
• Coordinate with HR and Recruiting Manager to ensure successful integration of new CSS hires.
Employee Relations
• Ad-hoc employee relations and requests such as holiday balance, letters, and salary certificates.
• Administer and coordinate all relevant UAE national pension process by dealing directly with GPSSA on requirements and policy.
• Add, administer and update data in the HCHR system.
• Run HR reports when required through the ReportNet system.
• Maintain confidentiality of all employee information including transfers, leavers, grievances and transitions.
