The general manager’s secretary is typically charged with maintaining the general manager’s schedule, booking meetings and appointments, and serving as a gatekeeper, screening calls and prioritizing daily tasks and responsibilities. She is usually responsible for distributing meeting agendas, scheduling meetings and recording and transcribing meeting minutes. She might also handle the general manager’s personal and business correspondence, including emails and memos.
A general manager’s secretary must be personable and have the ability to get along with a variety of personality types. She should be able to take direction and self-motivate, as well as handle her responsibilities with little oversight. Additionally, she should be well-versed and have an in-depth knowledge of the company’s products, services and policies.
Responsible for the daily secretarial routine to the Project Director and Project Manager. Responsible for the uploading of documents in the system and maintaining smooth flow of the site communication.
-Handles all project coordination matters for smooth running operations.
-Providing a full and supportive secretarial function as required by my superior or by the department.
-Consolidates daily, weekly and monthly reports and other documents as per Managers instructions.
-Ensure that kick-off, MOM, weekly and safety meetings are sent to all names in the distribution lists.
-Ensures that all forms of communications are dealt within an efficient manner.
-Maintains smooth & effective filing system at all times for each project.
-Create & update a central register for all incoming and outgoing correspondence.
-Inputs data and applicable technical and operational documentation for Company.
-Creates and updates data sheets as necessary
-Scan, compile and trace documents as needed.
-Verify accuracy of data imputed into the database.
-Track documents received and completion dates.
-Clerical duties including filing documents.
Responsible for the order taking and making sure that the quality of the treasured moments of the customers are in best standard.
Making sure that the incoming and outgoing raw materials is being properly checked and maintained.
Keeping all the necessary documents of everyday transactions such as invoices and stock transfers for future inventories and references.
Providing a full and supportive secretarial function as required by the Manager.
Maintains database in a systematic filing of all related documents.
Customer relations. Making sure that you will greet them politely and attend to their needs.
Making all the displayed products is properly arranged and with appropriate price tags for the customers convenience.
Follow-up on outstanding merchandise and discrepancies.
Perform a variety of clerical and reports duties as assigned.
Responsible for creating ideas and plans for promotions.
Provides assistance in the purchasing of products and display methods.
Receiving, storing and pricing merchandise methods and techniques.
Monitoring all products in the market and in back-up inventory.
Coordinates with the Marketing Manager and suggests promotions for slow moving products.
Supervising production processes to ensure implementation of company standards.Coordinates with procurement officers to ensure smooth supply of raw materials.
Establishes quality control standards and procedures. Ensures strictly adherence to those standards.
Manage and monitor the quality of all finished products to maintain the company’s high standard and meet the market requirements.
