Overseeing the management and organization of all project-related documents. conduct periodic audits to identifying and rectifying discrepancies on project documentation. Registering all in and out documents and maintaining proper tracking of all the documents received via Aconex and mails. Directly responsible for the departmental distribution of drawings, correspondence and authorities approval. Checking the attendance, meeting room bookings, Scheduling Meeting and HR administrative support
Perform regular quality checks on documents to verify accuracy and completeness. Assist with the Preparation of Status reports, monthly reports, and the assembly of supporting documentation. Enhancing/updating report using Auto CAD/Photoshop, i.e. QCCD /Energization /site logistics plan. Keep records of project details, daily reports, meeting minutes, correspondence and drawings on the server. Filling and maintaining company documents in electronic and physical forms.
Perform secretarial activities including typing, filing, copying and handling telephone calls, emails and messages. Maintain meeting schedules and assist department managers. Arranging air tickets and hotel bookings. Draw the attention of the concerned managers / departments for outstanding and pending actions. Overseeing office operations including maintain supplies, equipment’s and managing office expenses. Make daily/ monthly timesheets and payrolls.
