Prepare all correspondence and other forms of written communication (e.g. memorandum, circulars, reports, letters, meeting minutes, etc.) from the Executive Office, ensuring prompt delivery to all recipients.
* Responsible for organizing, maintaining and updating the filing system in the Executive Office.
* Responsible for maintaining and updating all supplier files
* Handling all telephone calls, enquiries and requests in accordance to company policies and procedures.
* Maintain proper discretion and tactfulness in dealing with confidential subject matters.
* Organize the executive diary and make appointments, ensuring that all meetings are confirmed and on schedule.
* Handle all incoming e-mails and faxes
* Organize meetings and other events as per instructions of the Director.
* Liaises with clients and other staff
* In charge of all inbound and outbound traveling and booking arrangements.
* Marinating all office equipment in working condition.
* Established good working relationship with all colleagues and associates.
* Provide assistance to colleagues within the department and amongst the departments in the delivery of services to clients
* Perform other functions as assigned by the Director.
* In charge of legal matters (communicating with Government Department and Ministries)
* Creating and maintaining data base and spreadsheet files.
* Executing duties delegated by manager.
* Communicating with the media in regards of the press conferences and preparing the newspapers articles.
* Coordinating with the stakeholders in all the work related issues.
* Prepare list of promotions and submit to human resources and follow-up implementation.
* Preparation of media coverage relating to Customer Management.
* Preparation for television interviews and necessary reports for coverage.
* Preparation of speeches for events and conferences.
* Prepare MOM for the Executive Director meetings.
* Follow up recommendations pertaining to minutes of the meetings.
* Preparing communication plan pertaining to Division.
* Meet clients and solve their problems or guide them to the concerned department.
