Recruitment

• Prepare, review and update regularly manpower plan.
• Maintain job applications database for critical positions locally and overseas.
• Ensure that department’s organization structures are updated.
• Review and update job descriptions and candidate specifications before recruitment process.
• Perform full recruitment cycle and maintains job postings. Screen applications and prepare shortlist.
• Prepare and maintain recruitment status report weekly. Follow recruitment policies and procedures.
• Coordinates with the GRO for new joiner’s visas.
• Schedule the interviews for the hiring manager and HR Manager.
• Prepare and review job offer. Communicate same with candidate and obtain his acceptance. Collect all required documents to start the employment process.
• Coordinate with outsource suppliers to provide company with the manpower required for Utility cleaners and Guards vacancies.
Onboarding :

• Verify qualifications and professional approvals and syndicates membership before proceeding with the Job offer
• Arrange to book tickets and hotels for new hires. As per of the onboarding coordination.
• Conducts induction / orientation program for all newly joined employees as per the company standards.
• Prepare employment contract, (Employees files and the onboarding list depend on the recruitment procedures).
• Coordinate transportation for new hires.
• Follow-up on the probation period evaluation and report failure and confirmations


Administration :

• Prepare tickets LPO based on the approval and forward to Travel agent verify the invoices as requests by accounts vs the LPO’s.
• Maintain company’s registration log file. Coordinate with representative to renew company’s, registrations, dealership documents, authorized signatory before due date.
• Maintain expiry date log file for company’s documents.
• Request translation for co’s documents based on departments requests using the approved translator.
• Arrange hotel booking as required. Arrange furnished apartments if requested by department managers depends on project, and ensure visits visa delivered to the booked hotel.
• Coordinate with all departments to get the attestations done by company representative as requested.
• Handle medical insurance for the requested employees.

• Prepares HR related reports like (short leave, sick leave reports, ) and submit to HR&Admin. Manager on quarter Basis.
• Responds to employees requests, suggestions & queries in a timely and professional manner, address their complaints, recommends solutions and make sure they have been handled properly.
• Conducts exit interviews for resigning employees and submit the results to GHRM.
• Prepare and maintain turnover report quarterly.
• Support in the processes the monthly payroll.

Admin Work :

1. Manage and prioritize all day to day operations for the switchboard according to established procedures.
2. Provide a professional customer service by dealing with a wide variety of people and queries in a helpful manner.
3. To respond to and take calls from both internal and external customers in a timely and efficient manner, and transfer the call to the right person depend on the customer inquiry.
4. Maintain the switchboard record, directory and any other tasks relating to switchboard functionality.
5. Handle the waking customer depend on their needs (Sales or complain).
6. Arrange the Meetings with the walking customer, if they coming with appointment or not.
7. Filling the Customer`s information using the note book to follow up with them.
8. Archive and arrange the employee’s files.
9. Arrange to send shipments/courier through DHL by preparing the DHL air waybill assigned by Admin.
10. Prepare the required documents to apply for the Tenders of Sales/Power/PSS/Rental.  
11. Prepare all the export documents for Rental/Equipment/Power systems.
12. Prepare all the conformity model of machines letters Sales.
13. Prepare the Customers Contracts in Arabic (Agreements, maintenance contracts for PSS)
14. Prepare all the Arabic letters of the company.
15. Prepare letters/correspondence with traffic department/other authorities, Authorization signatures as requested by Saad (GR) work.
16. Arrange hotel booking as requested.
17. Arrange Tickets for new overseas new hires for company.
18. Arrange to submit original visa to the Airport/Hotel prior to the arrival of the visitors.
19. Maintain expiry date log file for company documents, update.
