To be point of reference for Administration and Human Resource issues in AVSI
Duties and responsibilities:

1. Check, record, file and follow-up the monthly time sheets for all AVSI staff.
2. Verify and check all overtime claims, in accordance with the data on time sheets, staff attendance cards/records, personal contracts and AVSI General Employment Agreement.
3. Photocopy employment contracts and other documents as required.
4. Be responsible for the staff attendance records and clocking in machine and ensure that the attendance registers/ clock cards are regularly provided and checked.
5. Monitor and document, where necessary staff absences, late coming, annual leave records, sick leave, short period of absence (SPA), compassionate leave etc and present to Area Team Leader.
6. Keep the filing index up-dated, and ensure that all documents due for filing are correctly filed.
7. Ensure that, the Human Resource office in Kampala is informed and up-dated of any crucial staff issues.
8. Be responsible for follow-up of PER, Medical insurance issues, identity cards, etc.
9. Offer support to Administration by specifically reviewing and verifying
Payments requests and their supporting documents for accuracy, legality and conformity to organization and donor policies and procedures; Ensure proper and accurate coding of transactions, allocation of charges in conformity with organizations policies and procedures when requested by Administration.
10. Bank Reconciliation and Cash at the end of every month
11. Carry out Financial Training to staff
12. Technical Support and offers Financial Trainings to Partners
13. Supervise Logistic Coordinator, Finance Assistance and Office Assistant
14. Perform any other duties assigned by our supervisors, within your capability of operations.

Duties and responsibilities

1. Review and verify payments requests and their supporting documents for accuracy, legality and conformity to organization’s and donor policies and procedures.
2. Ensure proper and accurate coding of transactions, allocation of charges in conformity with organization’s policies and procedures.
3. Maintenance of books of accounts and records of all expenditures and revenues.
4. Makes payments by cash.
5. Preparing payments by cheque, transfers, bank drafts
6. Collaborates with office departments to follow up payments, accountability and administrative procedures in general.
7. Assists in the daily checking of the cash.
8. Assists the daily recording of the prima nota following instruction of the first supervisor.
9. Assists in checking the statements of the bank with our records and preparing bank reconciliation statements.
10. Offer technical support and training to local partners and project holders accounting personnel.
11. Monthly closure of the Accountability and submission to the Head office.
