Job description:
• Assist student clubs in managing their event by:
o Managing their printer account with expenses recordings
o Deliver the necessary needs and equipment to accomplish their events (printing the flyers, Cash wallet deductions…)
o Collecting back all the equipment delivered to students after the events termination.
• Help in preparing administrative documents and do their follow up (scan, record, and submit the documents to the departments or parties concerned).
• Keep track of inventory in building 14, old game room and some rooms in building 17 (boards, data shows, speakers, laptop, Wii …)
• Manage and control the archives (clubs and newspapers archives).
• Manage all clubs belongings in the cupboards.
• Manage and follow up the building issues (e-mailing GMHELP, ITS, or security with recording sheet if any problems occur).
• Keep track of the office supplies and different needs (staff & clubs)
• Post the Student Activities event flyers on campus and remove them.
• Daily follow up of the received and sent documents (post office, fax…)
• Accompanying students in their trips.
• Assist my colleagues in rush periods especially the administrative work.
• Assist audio video service in case of absence.
• Assist Hand in Hand coordinator (collect books or clothes from outside …)
• Assist VPSA Building agent.
• Work extra hours and weekends when necessary (many times I am called by students clubs without previous notice to come help them in their event extra needs - Rotaract, future entrepreneur, aytmatn…)
• All of the above is re executed with the Athletics Department
