• Common duties include:
Word processing
Preparing timesheets for the department employees’ salaries
Letter writing and dealing with telephone and email enquiries
Devising and maintaining office systems
• Maintaining filing systems and scanning and handling confidential documents
• Assist and coordinate shipments related to Government / Ministry (i.e.; MinPet Data Shipments)
• Using a variety of software packages, such as Microsoft Word, Outlook, Powerpoint, Excel, Access, etc., to produce correspondence and documents and to maintain presentations, records, spreadsheets and databases
• Liaising with staff in other departments and with external contacts
• Organizing and storing paperwork, documents and computer-based information
• Arranging business travel and accommodation for staff and other external contacts
• Ordering and maintaining stationery and equipment in the department
• Secretarial duties such as assistance with correspondence to the Superintendent of ER Division
• Handle and coordinate ER Helpline calls
• Process filing, scanning and handle confidential documents
• Undertake other duties such as Recognition Awards Coordination
• Prepare timesheets of the division.
• Handle Medical Insurance Cards dispatch process within a given timeframe.
• Assist staff in the division with their enquiries.
Duties include;
•Corresponding with foreign suppliers
•HR work of the company and preparing salaries which includes EPF and ETF
•Handling confidential matters of the company
•Preparing tender offers and follow-ups
•Coordinating company’s overseas travel arrangements
•Coordinating imports with Banks, freight forwarding agencies and clearing agents
•Negotiatings with local suppliers
•Collection of debtors and monitoring of stocks
•Demonstrating products to Customers
•All other routing work which relates to the division
