- Prepares vendor tender documents complete with technical specifications, conditions, bill of quantities, date for opening envelopes, tender validity, terms of payment and guarantee, in line with the Director’s/line manager’s instructions.
- Manage proactive and reactive bids, liaising with different service lines and functions for the required intelligence, support, strategy, solution, proposal and commercial offering.
- Respond timely and accurately to customers’ queries and technical clarifications on RFQs/RFP’s/ITB’s.
- Prepare of Purchase orders (PO), Delivery orders and GRN, work on change request documents,
- Manage representatives of strategic supplier relationships to optimize cost, quality and service as well as minimize risks for operations
- Conduct supplier performance reviews, negotiate contracts, and establish long-term partnerships to achieve favorable terms and pricing.
- Collaborate with internal stakeholders, such as operations, finance, and legal teams, to ensure alignment of procurement activities with business needs.
- Obtain and prepare of shipping documents (Bill of lading, Airway bill, Certificate of Origin, Packing List, Insurance Certificate, etc)
- Lead the project procurement efforts and focal point for the client interactions.
- Management of contract renewals and contract changes.
- Monitor and analyse ongoing secured bids for benchmarking and lesson learned requirements
- Overseeing inventory and stock control by tracking, receiving, stocking all items and liaising with warehouse, sale, technical and finance team to ensure that all inventory is supervised.
- scanning for new bids and tenders. Monitor relevant tender publications and notification channels for the selection of appropriate bid opportunities. Track past tender submissions for re-tender opportunities. Ensure opportunities are distributed to appropriate sales team members.
- Analyze pricing strategies, including cost calculations, profit margins, and pricing competitiveness, to develop competitive pricing proposals.
- Monitor changes in tendering regulations and guidelines and update internal processes and practices accordingly.

- Prepare detailed cost estimates, budgets, and pricing models, considering various factors such as vessel selection, crewing, equipment, and logistics.
- Maintain accurate records of all tendering activities, including documentation, correspondence, and submission timelines.
- Provide post-tender analysis and feedback to management for continuous improvement of the tendering process
- Ensure client communications, clarifications and bid portal updates are timely and effective.
- Work closely with finance and sales teams in deploying strategic pricing methodologies driving optimal margin, value and competitiveness for our bids and tender submissions.
