Control all aspects of project documentation on multiple simultaneous
projects, utilizing various control methods/systems.
• Ensure proper document control support is given to each project.
• Receiving documents from all projects.
• Responsible in filings and logs both Hard Copy and Soft Copy
• Provides assistance to the team as required.
• Supports the receipt, tracking, and monitoring of documents through
the use of standard document management programs to register
documents, maintain databases, and produce logs, transmittals, and
other reports as required.
• Supervision of daily uploads of drawings and documents in ACONEX
web-based document management system.
• Scanning, Photo Copying documents if necessary
• Welcomes visitors by greeting in person or on the telephone; answering
or referring inquiries.
• Liaise with executive and senior administrative assistants to handle
requests and queries from senior managers
• Performing secretarial and administrative work
• Submit and reconcile expense reports
• Order office supplies and research new deals and suppliers
• Setting appointments and arranging meetings
• Posting job ads and organizing resumes and job applications
• Scheduling job interviews and assisting in interview process. Ensuring
background and reference checks are completed
• Preparing new employee files
• Prepare renewal of insurance for all the employees
