The Project Assistant provides support for the implementation of ZOA projects throughout the whole projects cycle in the sectors of (WASH, FSA, ERL, Education, NFI/Shelter, etc.). The Project Assistant ensures a high standard of projects activities implementation on the field level and the delivery of timely and quality project activities reports and results according to the projects’ logical framework. The Project Assistant is also accountable for ensuring compliance with donor and ZOA internal standards.

•Oversee through field visits day-to-day operations and implementation of ZOA’s projects activities;
•Assist in maintaining the tracking system of pending issues related to stakeholders;
•Proactively identify and manage potential challenges and risks that ZOA may face during the projects implementation, propose and implement mitigation measures and, as needed, contingency plans;
•Supervise the distribution process in a manner that will ensure all targeted beneficiaries receive all planned commodities and in their rightful rations;
•Ensure all supplies arriving at the distribution point are properly accounted, and the commodities are of correct quantities and quality as manifested by the waybill and Good Received Notes (GRN);
•In consultation with the Project Manager, determine the best modality for required assessments to be conducted and ensure their proper implementation;
•Assist in developing projects work plans based on expected projects outputs and results; participate in their implementation including undertaking rapid needs assessments, scoping, designing, implementing, and monitoring of the projects, under the full guidance of the Project Manager;

Monitoring Tasks:
- prepares and submits the assessment report attached with photos which should be taken properly for each category of works.
- assists in the monitoring process of the execution works in the assigned work location in accordance with the B.O.Q, quotations, specification, drawings.
- notifies officially the site supervisor about the variation occur in each location.
- follows up the time schedule agreed with the contractor, site supervisor and approved by the field responsible.
- prepares and submits to the site supervisor the Daily Progress Reports attached with progress photos which should be taken properly for each category of works.
- helps in the handing over process of the site location to the related official entity representative (Municipality, governorate, ministry, SARC).

2- Evaluation Tasks:
- visits the assigned work location in coordination with the site supervisor and collects all the preliminary data related to planned activities
- visits the assigned work location in cooperation with the site supervisor; fills the assessment form, Bill of Quantities (B.o.Q) based on the minimum standards.
- helps in preparing drawings and B.o.Q when needed (draft or shop drawings during construction, sketches and estimates for new proposals).
- follows up, measures the executed quantities, and informs the Site Supervisor about any discrepancies between the signed quantities and executed one.
- follows up the quality of the executed works and the equipment delivered to the project site, in this regards he should inform Site Supervisor about any discrepancies between the quality of delivered items and the one agreed in the initial specification.
- helps in receiving the works from the contractors and suppliers, signing the certificate of reception, calculating the quantity of delivered goods/equipment to the work locations

My responsibilities are the following:

1. Supervising and following up the execution of the shelter rehabilitation
activities in the area.
2. Supervise and follow up the contractors according to the technical
specifications and terms of contract.
3. Organize beneficiaries lists and coordinate the data entry process.
4. Send periodic activities, data and update reports to shelter rehabilitation
Program manager in the Head Quarter.
5. Assess the damages and prepare BOQs for new projects.
6. Liaise and maintain good relationship with local authorities, NGOs in the
area and other stakeholders.
