* In-charge in hotel booking arrangements, transportation & travel arrangements for all CCC employees Worldwide whom travels to UAE with the coordination from the Sales Managers/Executives of the hotels & travel agencies.
* Performs duties directly under the Area-UAE Administrative Manager.
* Act as an immediate coordinator for both internal and external communication.
* Prepares and researches needed documents for the Administrative Manage, including recommendations to ensure that the documents are ready for meetings & discussions.
* Keeping tracks and summarizes minutes of the meeting to ensure that all discussions and issues have been acknowledged and completed accordingly.
* Provides a complete correspondence service for the Admin Manager and routing correspondence as necessary and drafting replies appropriately to ensure that mails are dealt with accuracy and efficiency.
* Provides a time management/diary service for the Admin Manager to ensure his/her availability to attend all key meetings at the appointed time.
* Responsible in dealing with incoming verbal/written communication both internal & external.
* Distribute incoming faxes to the appropriate person/projects.
* Assist in confirming transportation arrangements thru sending emails to request party & sending the LPO’s.
* Coordinates with the Company’s Training Department for travel arrangements and hotel accommodation of the attendees for the Company’s seminars and trainings to ensure that the visit visa (for CCC employees working outside UAE) has been arranged accordingly.
* Files and maintains reoijts to provide accurate and updated information and prepares computer-based documentation for company record tracking purposes.
