Review supporting documentation for processing various actions; answer a variety of enquires and supply readily available information from office files, databases, liaising with other offices as appropriate.
Perform recruitment activities including job descriptions, postings and ads, interviewing, screening, short-listing, background checks, and offer. Provides on-boarding and exit process for employees (check-out).
Ensure that salary, overtime; hours of work, leave policy, entitlement, health insurance and detailed Terms of Reference are comprehensively included within the body of all Letters of Employment offers.
Payroll functions are completed in accordance with established policies and procedures in timely manner. Errors or discrepancies are promptly discovered and resolved.
Monitoring the contractual status of staff; monitor performance management; within grade increment schedules and ensure the timely preparation and issuance of contract renewals and personnel action forms.
Verify benefit, health insurance (MIP) and other related claims for accuracy and conformance with personnel rules and regulations.
Monitor and ensure timely submission of e-PAS/PER’s, and Follow-up with reporting officers to ensure full-compliance of the e-PAS/e-Performance and provide guidelines/advise to the reporting officers on how to address issues of unsatisfactory performance.
Act as focal point for UNAMID’s former staff members regarding pension related issues, communicate with UNJSPF and review outgoing correspondence to ensure accuracy and completeness of information and institute follow-up action, make photocopies as necessary.
Extract and input data from various sources in the human resource database; FPMS, IMIS, Nucleus and FSS systems.
Draft routine correspondence and initiate process for the preparation of staff support documentation
Process and prepare reports pertaining to personnel activities as required.
Perform bank reconciliation, receiving/check and recording all financial statement draft.
Supervise and monitor with purchasers to ensure the good quality of all finance statements and invoices.
Assit in all administrator meetings act as translator, sometimes facilitate agreement with other part, Acting as HR assistant (attendant sheet, leave request ...etc).
Prepare payments/salaries and pay the staff and the house/land owner.
Translate all office documents/ Invoices from Arabic to English and vs.
Maintain accounting files and records. Compile/ keep all purchasing invoices provided by suppliers/ purchasers.
According to the budget code lines, I charge all the expense to the finance system.
Generate and prepare monthly budget report.
Maintain office files and records.
Assist in monthly organization’s finance closing.
Perform other duties as assigned.
