-Organize the company’s annual meetings, events and conferences inside and outside Egypt ( Lebanon - Greece - Turkey - UAE - Brussels ), this includes making a good deals with the hotels where we will organize our events that fit our budget, address the event’s information to our targeted customers, arrange for customers outings and dinners and all other organization for the meeting facilities .
-Take care of the trade shows and congresses that the company participate at ( Arab Health - Pan Arab - ISBT - ATMC - AABB) including the payment for the booth, hotel reservation, dinner arrangement for the customers and all other related logistics .
-Responsible for arranging all logistics related to the training that take place at our office ( hotel reservation, outings, CB& lunch, training supplies and issuing certificates ).
-Office Management for the office including ( Furniture, supplies, annual subscriptions and contracts and all other related activities for the office )
-HR supervision for the employees personnel files and ensure they are as Work labor requirements .
-Arrange for the Team building exercises for our team once per year ( Lebanon and Istanbul ) .
- Prepare leave and training plan for the office employees as well as Crew on board the ships.
- Maintain leave records and advise Finance & Accounting on leave entitlements.
- Maintain all staff personnel files ensure personnel filing systems are up to date.
-Preparing employment contracts for on board as well as shore personnel.
-Maintaining computerized sign-in/sign-off movements of ship’s crew in Oracle System.
-Follow up with the embassies the issuing of visas for the company staff.
- Monitor the use of company phones, transportation and travel.
-Arranging travel arrangements air/land/sea and hotel bookings for executives and company guests.
- Co ordinate and follow up with required agents for custom clearance for the company shipments and spare parts.
- Handling all matters related to the international insurance for the ships.
- Follow up with the different societies( HRS, RINA.....) the issuing of the ship’s certificates.
- Processes all incoming correspondence such as regular mail, courier envelops, faxes, e-mails, telephone calls which are addressed to the manager distributing these to the appropriate personnel, and where action is required, ensuring that these are acted upon in an efficient and productive manner.
1- Attending tour program for at least four groups per day and ensuring their satisfaction
2- Acting as gust relation and coordinate with top management for business developements
- Handling customer calls and complaints.
- Preparing minutes of staff meeting
- Monitor newly recruits team members.
- Handle escalated cases.
- Assist team leader in preparing monthly reports.
- Telesales for Telecom Egypt products.
- Delegated team leader during his absence and follow up attendance, reports and all updates.
