Duties and Responsibilities
• Write up correspondence, memoranda, presentations and reports for senior managers.
• Organize and manage executives’ schedules, meetings and appointments for both internal and external clients and coordinate travel arrangements.
• Work closely with senior managers to provide them with administrative support.
• Record, transcribe and distribute the minutes of meetings.
• Screen telephone calls and direct calls from the switchboard.
• Meet and greet visitors at all levels of seniority and provide them with refreshments.
• Train new administrative assistants to ensure attention to detail and adherence to company policy.
• Maintain utmost discretion when dealing with sensitive topics
• Perform routine clerical tasks such as mailing, copying, faxing, filing, scanning and maintaining administration systems.

• Answer and rout incoming calls on a complex digital telephone system relay messages and refer customers to appropriate person of service.
• Marketing university products to prospective callers.
• Provide information and assistance regarding telephone numbers to complete certain calls.
• Maintains inventory of office supplies.
• Receive messages by fax and email and send intended recipients messages by internal mail.
• Compile, update and maintain data related to staff directory i.e. electronic telephone directory to ensure accurate dispensing of information.
