• Input data into online case tracking database
• Send milestone emails to clients upon filing and approval of cases
• Monitors case tracking management / application updates of files
• Responsible for processing case related documents and updating of systems
• Process incoming and outgoing mail and messenger deliveries
• Create and track case reports, including calendaring dates for starting new cases and extension cases
• Provide administrative support to ensure that everything are maintained in an effective, up to date and accurate manner
• Draft correspondence utilizing document templates
• Schedule / Leads staff meeting whenever needed / Prepare agendas and minutes of meeting
• Keeps clients informed by maintaining contact; communicating case progress.

• Provides limited assistance with drafting of forms, letters and other legal documents

• Monitoring and keeping artworks safe while gallery is open
• Manage applications and logistical matters associated with off-site events
• Responsible for shipping of artworks
• Staff the front desk, greets the visitors, answers questions and field sales inquiries
• Promotes current and upcoming exhibits
• Ensures that visitors do not damage any works in the gallery
• Helps with the physical installation of exhibits
• Keeps the gallery's website and social media outlets up to date
• Managing gallery's information technology and computer systems

Regularly monitors the accuracy and completeness of payment collection.
Responsible for training new employees on the department regarding overall performance, systems, quality and any other work related matters.
Handles department mails
Preparing and submitting Pre/Post shipment document and ensuring compliance with the legalities. Ensuring all system requirements are adhered to in the Documentation department
Highest level of data quality for export and import functions to be maintained
Exception reports to be pulled and analyzed for export and import documentation
Ensure documents are issued within the stipulated time frame and are populated with all relevant charges including as per system reports and approvals
Ensure the documents are filed correctly and information is provided on time
Ensure correct calculation of freight and other charges and correctly invoice
