Assist guests by providing general information about the Clinics.
- Make appointments for guests in the E-hope system and complete appointment card if required. - - Maintain waiting list of guests.
- Receive and register guest in EHOPE system.
- For insured guests take a copy, scan in their insurance card and reading the details of their cards.
- Responsible for processing any cancellation or refund of investigation, attaching all the supporting documentation duly stamped and signed off.
- Upload the insurance claim form and other documents and send to Pre-Approval section.
- Check the call back system regularly throughout the day and update.
- Reading the insurance cards and Explain to the guest where investigations exceed the insurance limits.
- Responsible for calculating cash and credit card sales. They must be tally with issued receipt vouchers.
- Responsible for preparing daily sales report.
Welcoming guests and start to perform check in and escorting procedures.
- Performing check out procedures and make sure that all guests leaves satisfied and in a smoothly way.
- Handling guests complains and make sure that all requests are guaranteed in a sufficient way.
- Escorting guests and explaining hotel facilities and meal plan program.
- Reviewing Housekeeping Discrepancy and compare it with hotel's system discrepancy.
- Achieve positive outcomes from Guest queries in a timely and efficient manner.
- Ensure an efficient reception experience for Guests, including check in/out, and complete audit - procedures, as required.
- Ensure that the Front Office Manager is kept fully aware of any relevant feedback from guests and, or, other departments.
- Demonstrate a high level of customer service at all times.
- Attend appropriate training courses, when required, and assist with the Night Team’s training and - development efforts.
- Demonstrate knowledge of hotel room categories, room rates, packages, promotions and other general product knowledge necessary to perform daily duties.
- Maximize room occupancy and use up-selling techniques to promote hotel services and facilities
Use the correct procedures regarding the acceptance of foreign currencies, credit cards and cash in accordance with the hotel credit policy.
- Comply with hotel security, fire regulations and all health and safety legislation.
Answer incoming calls.
- Take and distribute messages to the guests.
- Log all wake-up calls requests.
- Provide information about hotel facilities to the guests.
- Deal with special requests and informs Front Office Manager or Duty Manager.
- Handles long distance calls.
- Train new employee in use and location of equipment to the required standard.
- Ensure full working knowledge of the names of Department Heads, other officers and their - relevant extension numbers.
- Train staff in general, knowledge of hotel, companies and local surroundings.
- Determine work schedule to cover the shifts according to the occupancy of the hotel.
- Ensure during emergency leave all shifts are covered.
