Arrange and book hotels, tours and travel of the guests.
Receiving calls from clients, suppliers and from hotel.
Handle complaints and queries of clients, provides solutions and alternatives within the time limits and follow up to ensure resolution.
Manage all mails from guests and ensure response and completion of all guest requests and provide update on everyday basis.
Creates and maintains reservation records by date of arrival.
Making arrangement for clients travel programs and send to our agent.
Coordinating with the guest and with the drivers make sure that guests are completely satisfied.
Basic accountings such as preparing cheques invoices and send to suppliers and clients.
Secretarial and clerical operations.
Preparation of shipment documentation (Invoice, packing list, POD, airway bills, and certification COO)
Coordinate with the freight company for collection, delivery trucking arrangements and status.
Shipment follow ups, and update the respective clients and managers.
Maintain the documents hard and e-copy as per client’s folder.
Airports permit to be able to obtain entry pass and permit to work (Dubai, Sharjah and Abu Dhabi)
Assisting production department to arrange manpower for installation and dismantling, arrange driver as per schedule.
Sending update to client as per shipment status.
Receptionist cum Admin Assistant Responsibilities:
Welcomes visitors by greeting directing and announcing them appropriately.
Answer, screen and forward any incoming / outgoing calls while providing basic information when needed.
Maintain a high standard of care and discretion when dealing with confidential information.
Receive and sort daily mail/deliveries, incoming fax and arrange distribution to receipts.
Update and arrange calendar and schedule meetings for Managing Director, Managers and clients.
Perform other clerical duties such as fling, photocopying and faxing etc.
Act as HR support staff in the absence of the HR executive.
Checking daily attendance send to Managing Director, HR manager and production manager.
Encode the daily attendance in ERP system.
Prepare the documents required to apply residence visa, emirates id and medical for staffs.
Book flight tickets for all staffs, hotels for client as needed. Arrange visa if managers required to do site visit outside the country. Coordinate with travel agencies.
Prepare memorandum.
Screen and invite applicants as per qualifications.
Posting ads in job portals.
Responsible for meet and greet the visitors.
Provide general administrative and secretarial support to the managers.
Manage daily clerical operations.
Screen the incoming and outgoing calls.
Request hotels, tours, and ticket and visa quotations.
Book tickets, hotels, arrange visa as per guest requests, and ensure the guests satisfactions.
Work with customers with the cheerful and pleasant disposition
Responsible to put price of all newly delivery.
Managed in returns and exchanges products.
Attending customer’s, helping and giving what do they need.
Process they payment cash or credit card.
Replace counter sales if required.
Cleaning the store at every time.
Helped my supervisor to choose newly products from warehouse.
