• Answer phone calls on Hotline number with respect and care
• Proceed with a preliminary screening of calls, as per HI guidelines, in order to identify potential program beneficiaries and people in need of information.
• Keep track of all entering calls as per HI guidelines & formats.
• Refer the potential beneficiaries on waiting list to the Project Officer and collect the feedback received within the 7 days.
• Provide relevant information to callers if needed: information and orientation on the project services, basic information on available other organizations’ services.
• Take detailed note of any pending needs, complaints or issues reported by the callers; daily or weekly, as per requirements, share and review the calls logbook with managers and relevant colleagues.
- Outreach potential candidates based on a detailed guideline and acceptance criteria, fill online applications on Google drive, and send midterm and final reports to the project manager by email.
- After the final selection of the candidates, the coordinator should fill a database on the online directory using the online form (Google doc)
- Assist the project manager in the procurement activities of the training equipment and materials following the donor’s procurement procedure
- Follow up on the installation and delivery of equipment based on detailed guideline.
- Check on equipment regularly to ensure all their well functioning, and take timely action to fix any issue on time and send an email notice to manager with issue and cost
- Follow up with the inventory, make sure items and martial are available on time, make the purchase out of stock items on times, and send a weekly report to the project manager about inventory turnover
- Keep official documents related to transportation and drivers and prepare monthly timesheets for the drivers
- Keep track of the list of office materials and utilities, purchase as needed and report purchase orders to the project Manager.
- Share activities and vibes from the center with the online community.
Coordination : - develops and implements the district strategy and WASH programs in collaboration with the respective program managers and technical coordinator(s).
- provides general support, guidance, and serves as focal point during program planning, grant writing, and reporting.
Management: - ensures that ACF procedures and donor regulations applicable to projects implemented in the region with regards to program, logistics, security, human resource, and administration are closely followed.
Logistics : - overseeing the logistics on the district level ensuring the proper set up / rehabilitation / running of base premises (office / guest house), the functioning of supply chain including procurement planning, purchasing of goods and services, their transport and storage, the organization, planning
Administration / Human Resources : - responsible for overseeing the management of finances and administration on district level.
- provide support to specific departments or teams in a organization, such as Human Resources, Accounting and Marketing or Information Technology (see IT assistant).
- Responsible for all personal file for each employee.
- Sending an email report to Research Manager at the end of each work day to briefly summarize the day’s work and make a report to the weekly plan and the monthly plan.
- Administrative duties and co-ordination with other members of the project ( the Public Health and engineering Team) .
- Assist in data entry.
- Sending out and receiving mail and packages.
- Preparing business correspondence (often using word processing, spreadsheet, and presentation computer software).
