Roles and responsibilities: Directly Support to the Head of the Department for academic and
different administrative issues within the semester. Liaison with intra AUST Offices (VC,
Treasurer, Registrar, Examination, Proctor, University Engineer, System Engineer, Library, IUMS
project and others Offices). Coordination & communication with all Departments (Arch, CE, CSE,
EEE, TE, IPE, ME & SoB) of AUST. Supervise & follow-up departmental all administrative related
activities within the semester like: Receive office files, letters, records and take necessary
circulate/action for office orders & notifications; checkup email and answer to concern
persons(teacher, student, 3rd
party); Office and stuffs management; Contact with all teachers to
setup & notify departmental meeting & its attendance; Daily attendance record of the
department for all; Prepare teachers and staffs monthly salary attendance; Update and
manage teachers’ and staffs’ leave(CL, EL, DL, ML, SL, EOL) & joining reports and records;
Prepare semester wise new PTFL & PT teacher(s) appointment note as per AUST rules with
calculated teaching load w.r.t. total credit hours loads in routines for various subjects; Teachers
and students support management; Collect & circulate semester wise classes & lab routines;
daily updates for routines & notice board; Prepare requisition & maintain records for office
stationeries, photocopies and teaching materials, Prepare contingency, indent, conference,
meeting & remuneration bills; Prepare budget note sheet and updates fund along with
inventory list of fixed assets; Prepare contingency bills for reimbursement; Prepare
departmental office order & notification; Maintain & update all office files & records. Process
for arranging office order on different issues; Prepare quarterly & annual reports for the
departments & convocation; Collect & Receive Final Examination answer scripts & distribution
among full time and part-time teachers; Maintain log register for final examination; Collect
results from teachers and send it to Controller of Examination Office; Support/update IUMS to
input data(preparer, scrutinizer names and published dates) and necessary modification
through online account; Performs MS in Mathematics new semester student’s admission
notice, form distribution & admission; Prepare & sign on Bank sleep for tuition fees; Sign on LAB
clearance form for all respective departments and subjects; Notification for the students;
Contact with students for their classes & academic issues. Students counseling regarding
MS Mathematics admission, tuition fees, courses & its duration.
