Manage the document control system to ensure accurate and timely flow of documentation, including drawings, specifications, and correspondence, in compliance with company standards and project requirements. Coordinate document review, approval, and distribution processes with internal teams, subcontractors, and clients to support project timelines and deliverables. Utilize document management software (e.g., Aconex) to organize, track, and maintain project documentation, ensuring accessibility and confidentiality as needed. Conduct regular audits of document repositories to verify document accuracy, completeness, and compliance with contractual requirements and regulatory standards.
Provide administrative support to senior management, including
scheduling meetings, preparing agendas, and taking minutes.
Conduct research and compile data for reports and presentations.
Assist with special projects and initiatives as assigned.
Update records as needed and ensure information is current and
organized.
Draft and proofread emails, letters, and other communications.
Handle incoming and outgoing mail.
Respond to routine inquiries and escalate issues to appropriate
personnel.
Schedule appointments, meetings, and events for faculty and staff.
Utilize advanced proficiency in Microsoft Word, Excel, PowerPoint, and
Outlook to create and format documents, spreadsheets, presentations,
and emails
