Provides high-volume administrative support to the Head of
Projects and the direct reports. Ensuring that good administrative
and documentation practices are put in place and followed. AO
support is responsible for forecasting, tracking, and reporting on the
projects.
Responsibilities
Projects:
* To assist HOP managing the tendering procedures and the
evaluation of the offers for negotiation
* To prepare and submit the approval of payments for all
stakeholders of the project
* To assist and prepare a monthly status report about all
running projects
* Sharing relevant documentation and reports with Head of
Projects
* Provide administrative assistance to Head of Projects
including answering phone calls, create communication
memos, maintaining department files, and scheduling
meetings.
* Perform any other
duties as requested
by the Head of
Projects
Handling and executing the company purchasing decisions, all
while maintaining adequate stock levels and staying under
budget. Main roles include analytical thinking, procurement
expertise, leadership, and time management.
Handling and attending incoming and outgoing telephone
calls.
* Arrange meetings, schedules and in charge in making
memos.
* Organizing and maintaining office documents and files
properly.

* Responsible in
making invoices and
delivery notes to
customers.
* Sending local
purchase order for
suppliers.
* Arranging
cheques/cash
payments for
suppliers.
* Follow up customer’s
for pending/due
invoices by calling
and sending them
mails.
* Receiving payments
and issuing receipt to
customers.
* Perform other clerical
works such as
photocopying,
scanning, and
sending fax.
