Responsibilities -
• MIS Reports - Preparation and review (with comments) of Flash Billing reports, Inventory Report, Debtors Report and Flash P & L, . Review of (including generating some reports) weekly reports on Sales Order margins, margin Contributions, Debtors, Employee Advances, Supplier Advances, GIT & GR/IR, Reimbursements timelines, and monthly reports of Budget vs Actual, various Account Reconciliations like Bank Reconciliations, etc.

• Budgeting - Preparation of Annual Budgets in consultation with the Cost Centre / Business heads. Comparison of Budget vs Actual on a monthly basis and explaining the variances, assisting Business heads in understanding the various variances and suggesting control measures to close the year within the Budgets. Identifying unplanned expenses and revisiting Budget plans on need-basis.

• Overhead Controls - Ensuring that the Overheads are booked in the correct cost centers and reports reviewed to check the variances. Share / caution user departments on the various expenses and suggest measures for cost control.

• Sales Accounting - Fully responsible for processing sales orders and ensuring that all eligible sales orders are executed and accounting for the same completed in all respects (including excise invoice accounting)
• Vendor Payables - Fully responsible for ensuring that all vendor purchases are booked, all clear vendor (both material and overhead vendors) bills are paid by the due date, review and taking measures to ensure that overdue vendor aging, bills not received, bills not accounted, supplier advances, debit balances in vendor accounts are kept to the minimum, and Creditor Regrouping. Reconciliation of Vendor accounts on a quarterly basis.
• Inventory Control - Review of inventory aging on a monthly basis, ensuring that the company policies are followed for Scraping, planning and participation in physical stock-takes, month-on-month trend analysis, reconciliation of GIT
• General Accounts - Ensuring that all expenses are booked correctly and with-in the concerned month, booking all employee reimbursements and remitting the same to employees, ensuring that provisions are made accurately and actual expenses accounted properly against the provisions. Review of provisions for reasonability and applicability on a monthly basis.
• Payroll Accounting - Ensuring that payroll is processed every month in ORION after all updation and is accounted. Ensuring that salaries are distributed by the last day in the month and by 5th to all temporary staff.
• Inter-Division Accounting - Ensuring that all Inter-Division Sales and Purchases are booked properly in the correct Division and that all inter-division expenses are accounted for, all receipts received are correctly accounted for on a daily basis. Reconciliation of Accounts with all Divisions on a monthly basis and ensure 'zero' reco balance at end of each month with all Divisions.
• Statutory Audits - Front-ending all Limited review & Statutory audits for the division including review and preparation of all Schedules / Reconciliations for the Audit. Planning the Audit time-lines and distributing the Schedules work amongst the Team and ensuring that the Team is ready for the Audit is my responsibility for all locations. Preparation of suitable replies for Audit queries for the Audit Sub-Committee meetings.
• Internal Audit - Handling the Internal Audit and replies to all queries to the satisfaction of the Internal Audit team and implementing there suggesting and sending updates for follow-up audit reports.

• Started my tenure in the Accounts Department as Jr. Executive. My expertise in the field of Accounts and the related fields can be summarized as follows:

• Sales Accounting - Fully responsible for processing sales orders and ensuring that all eligible sales orders are executed and accounting for the same completed in all respects (including excise invoice accounting)

Also ensuring all customer receipts are banked and are accounted against the correct outstanding.
• General Accounts - Ensuring that all expenses are booked correctly and with-in the concerned month, booking all employee reimbursements and remitting the same to employees, ensuring that provisions are made accurately and actual expenses accounted properly against the provisions. Review of provisions for reasonability and applicability on a monthly basis.
• Payroll Accounting - Ensuring that payroll is processed every month in SAP after all updation and is accounted. Ensuring that salaries are distributed by the last day in the month and by 5th to all temporary staff. Also, ensuring that statutory dues like PF, ESI, TDS, Prof Tax are remitted by the concerned due date and that the payable accounted get reconciled and tallied with the remittances.
• Budgeting - Preparation of Annual Budgets in consultation with the Cost Centre / Business heads. Comparison of Budget vs Actual on a monthly basis and explaining the variances, assisting Business heads in understanding the various variances and suggesting control measures to close the year within the Budgets. Identifying unplanned expenses and revisiting Budget plans on need-basis.

• Exchange Fluctuation Booking - Ensuring that the impact of foreign exchange fluctuation is booked properly at the time of payment and receipt in foreign currency and also, reinstating the foreign currency liability and debtors at the month-end as per the closing rates. Also booking of forward cover as per HO's assessment.

• Cash Flows and Funds Management - Preparation of monthly cash flows and review of daily cash flows and arranging funds accordingly thru Bank CC limits, internal sales recovery and Debtors. Planning funds for major vendor payments either thru LCs or EFT/RTGS and according arranging funds in various Bank accounts. Also. Ensuring that all unwanted funds are re-arranged / returned.

• Inter-Division Accounting - Ensuring that all Inter-Division Sales and Purchases are booked properly in the correct Division and that all inter-division expenses are accounted for, all receipts received are correctly accounted for on a daily basis. Reconciliation of Accounts with all Divisions on a monthly basis and ensure 'zero' reco balance at end of each month with all Divisions.

• Reconciliations of various GLs - Ensure that all Current Asset and Payable accounts are reconciled with there respective sub-ledgers / statutory Returns on a monthly basis.

• Excise / Modvat - Ensuring / review that all Excise benefits are taken on purchases and excise duty is paid on all sales (as applicable), ensuring that all documentation is made for registering with Dept whenever a new product is introduced, Reconciliation of all Excise Registers/Returns with SAP GL accounts, ensuring / coordinating all documents are received for availment, handling the audits conducted by the Department, ensuring that the Returns are filed as per the due dates.

• Sales Tax / Service Tax / TDS / ESI / Prof. Tax / BOE submission (Statutory Compliances) - Ensuring that all Statutory payments are made before or at the most by the due date to all Government authorities and preparation of Compliances Report for the Chairman's Office.

• MIS Reports - Preparation and review (with comments) of Flash Billing reports, Inventory Report, Debtors Report and Flash P & L, MIS Accounts folder and Sch. VI Accounts. VI Accounts on a Quarter-on-Quarter basis for Audit purposes and similarly on yearly basis.

• Statutory and Tax Audits - Front-ending all Limited review, Statutory and Tax audits for the division including review and preparation of all Schedules / Reconciliations for the Audit. Reporting on the Sales done during the month / quarter / year on year basis both on quantity and on value, Gross margins made and variance analysis with reasoning, stock availability, quantities sold, trend analysis for planning inventory for the future months and making marketing schemes and work out plan to reduce the expenses.

• Expense Control - Ensure that the total freight expense is within the budget allocated on a national basis. Work out best mode of transportation of finished goods to ensure that the expense is minimum, risk is minimal and also delivery commitment is also met so that no LD clause gets implied.

• Dealer Commissions - Responsibility includes capturing the right amount of dealer commission is accounted as per the management delegation policy, ensuring that the claims are processed and paid, dealer accounts reconciliation.
