Assistant /Main Facility management duties (26 Apr 2016- 7 Nov 2019):

KEY RESPONSIBILITIES:

• Daily monitoring and reporting of the CO compound cleanness and maintenance including courtyards, open areas, Gym, Cafeteria, Nursing room Prayer area, and other CO facilities

• Daily monitoring and reporting of the Gym facility to check the cleaning services provided, and ensure that all the Gym equipment and devices are well functioning and report if there is any problem

• Supervise and manage porter’s activities as per requests received from other Units

• Supervise and monitor daily Distribution of drinking water drums to all the WFP premises (including CO, Workshop Soba, SATA Warehouse Bahri and UNHAS airport)

• Provide some assistance to facilities Management in some Maintenance tasks by supervising and monitoring out-sourced contractors/suppliers

• Assist in other Facilities management tasks that related to other units such as Framing, office duplicate keys…etc,

• Monitor the CO compound cleanness and tidiness by regularly clearing unused and disposal items, preparing inventory list, and moving them to the Admin temporary storage at the Soba compound until cleared by LPSP for disposal

• Provide WINGSII support to the unit including Purchase Requisitions (PRs) creation for the unit, posting GRNs and SESs for the Utilities and services and follow-up for approvals

• Prepare I.O.U and petty cash payments for daily office minor activities and transactions

• Liaise and coordinate with procurement to acquire some office minor items

• Occasionally Assist in Warehouse Logistics monthly count of food stocks

• Assist in issuing inventory Tags to items and equipment given to the client in the CO

• Perform other duties as required.


Transport Assistant - WFP Country Office - Khartoum (7 DE 17- 7 Nov 2019)

Drivers Management:

Assist the Drivers Coordinators to Plan and assign the routes and schedules for Drivers.
Prepare Monthly Summary for Drivers Overtime Requests and send it to HR For Processing.
Prepare TEC- Travel Expense Claims for Drivers after returning from Field Missions.
Assist Drivers with any issues at a higher level.

Fuel Management :

Prepare the Fuel Issue Order Forms (Coupons) for Drivers for receiving fuel from the fuel station and ensure the fuel registered in the Logbook and received is in accordance with the required amounts.
Assist in preparation of fuel report and well as data entry in Fleet Management System.
Thoroughly checking and validating requests and authorized issuance for clarity and correctness in accordance to established procedures. Ensure that Fuel is issued to only authorized vehicles & generators.
Perform daily verification exercises of all Fuel records and transactions performed with the same day and ensure that data integrity and accuracy.
Maintain records of all fuel issue slips to all vehicles & Generators.




Fuel Management System Entries :

• Enter data into FMS (Fleet management system) and Daily Fuel Tracking Excel Sheet and ensure all info entered is accurate.
• Perform daily reconciliation exercises of all records and transactions performed within the same day and ensure that data validation, integrity and accuracy of data are maintained.
• Report daily, weekly, monthly, quarterly and annual basis on fuel consumption for the duty station.
• Use dipstick and chart for measuring the quantity of underground diesel fuel tanks whenever needed.
Vehicle management:

• Responsible for checking and ensuring accurate maintenance of the vehicle log books by drivers.
• Send Job / Maintenance Request Cards to Workshop in case of any vehicle maintenance
• Perform and assist in any administrative tasks related to Fuel management, vehicle spare parts stock management and Workshop activities.
• Maintain files for each vehicle that will contain the vehicle’s history such as: registration, insurance and other related documents.
