- Handle the recruitment process from screening CVs and doing interviews
- Design and conduct the Employee Orientation
- Prepare and update the Job descriptions for current employees and new joiners
- Maintain and update HR documents, such as Organizational Charts, employee handbook, processes flowcharts and performance evaluation form
- prepare the payroll data and variations - handle the leave record for Employees
Secretarial and Administrative Support to the Board of Directors:
- Typing all types of memos, letters and emails, preparing the documents and presentations as per the requirements and the instructions.
- Maintaining and processing the documents fro review and final signature.
- Handling the minutes of meetings of the Board.
• Perform preliminary search for candidates, review CV’s, interview and evaluate applicants.
• Perform reference checks, finalize the hiring package and job description for new candidates.
• Arrange for Asset Procurement - Delivery & Release Form for new hires.
• Monitor the execution of the Delivery & Release Form with various Head of Divisions.
• Design and conduct the Employee Orientation / On-Boarding process.
• Maintain and update human resources documents, such as Organizational Charts, Employee Handbook, Job Descriptions and Performance Evaluation Forms.
• Write and update the job descriptions based on job analysis and job requirements
• Develop and update job evaluations based on job descriptions.
• Confer with management to develop or implement HR Policies or Procedures.
• Maintain the Internal and External trainings for Employees.
• Handle the internship process.
• Prepare, distribute, collect, summarize and analyze Employee Surveys.
• Communicate Employee survey results with Head of Divisions and Managing Director.
• Assist in implementing the Corporate Governance for ICC Holding by preparing the Corporate Governance Code and being a member of the Corporate Governance Committee.
• Assist in the Recruitment Process by screening CVs and collect the most suitable profiles for interviews.
• Arrange interviews for new candidates.
• Maintain the Annual Leaves of all employees.
• Manage an extremely active calendar of appointments; composing and preparing confidential correspondence
• Keep all corporate documents including charters, laws and board meetings minutes.
• Assist in coordinating the agenda of Senior Management Team Meetings and attend them to take the minutes of meeting.
• Handle the travel process from arrangements and per diem.
• Yearly Rent Registration of all tenants are signed and registered.
• Rent and Common charges are being Invoiced & paid by tenants on due dates.
• Percentage on sales are invoiced in due time when applicable.
• Develop a good relation with Mall tenant representatives.
• Prepare the annual tenants facts sheet with its corresponding summary.
• Prepare the annual payment schedule.
• Follow up on invoices.
• Supervise the Operator and Administrative Officer.
• Follow up on marketing procedures.
• Handle word processing, creating spreadsheets and presentations, and filing.
